Position Objective

Konica Minolta currently has an exciting opportunity for an Admin Ops Specialist!

Provide timely and accurate order processing, aftermarket billing, and customer support for locally processed sales and service transactions. Also serve as local administrative interface for centrally processed (Windsor) transactions. Ensure sales and service transactions are processed within the parameters of Company operating policies.

Essential Job Functions

  • Enter, track, and schedule delivery for all orders processed within the assigned Branch(es)

  • Ensure that all order and contract paperwork is in compliance with Company policies and procedures

  • Set-up and maintain all master data records for customers processed within assigned branch(es)

  • Review and pre-edit orders to be submitted to the National Account Customer Care Center

  • Set-up maintenance contracts for assigned customers and execute all related billing functions (including specialized invoice generation, backup meter collection, invoice corrections, etc.)

  • Review and monitor lease fundings and follow-up as needed to ensure Konica Minolta is paid as quickly as possible

  • Maintain customer access to as required

  • Respond to customer inquiries

  • Assist Branch personnel with Administrative issues

  • Perform general office support functions as required

Competencies (Knowledge, Skills and Abilities)

  • Intermediate level knowledge of Microsoft Excel and Word

  • Strong communication skills

  • Ability to multi-task and work effectively in a high stress environment

  • Experience with SAP or demonstrated experience to learn SAP or similar systems

  • Related industry experience preferred

Experience, Educational Reqts and Certifications

  • High School diploma or higher educational degree required

Arrange meal accommodations for agency staff and commissioners. Make arrangements for necessary audio visual equipment for agency meetings. Draft and send agency meeting information to commissioners notifying them of meeting date, time, locations and details. Confirm meeting meeting attendance via fax, telephone and e-mail. Draft and submit notices of public meetings to applicable newspapers. Draft and prepare internal commission documents with director's assistance. Compile commissioner meeting packet materials. Conduct inventory of office supplies, obtain quotations from vendors on office provisions, apprise director of needs and submit requested purchases to director for final approval. Order new equipment and supplies as necessary. Receive and calls from legislative staff, state/federal agencies and other community figures in order to schedule and prepare director's monthly calendar, and update as necessary. Conduct occasional internet research, proofread press releases and correspondence. With oversight from agency director update agency webpage and Facebook page to include agency news, relevant news articles, photos. Update constituent resource links as necessary. Update agency commissioner information. Provide program support for agency youth leadership programming, Chief Standing Bear programs and other programs as necessary. Qualifications / Requirements REQUIREMENTS: Experience in performing secretarial support work, involving the use of personal computers, office equipment, and associated software such as word processing, spreadsheet, data management, graphic/presentation, and web/internet applications. PREFERRED: Knowledge/experience working on Native American issues, or working with Native American constituencies, or knowledge of Nebraska tribes.
