The Administrative Operations Coordinator for Tulane University's Newcomb Children's Center and is responsible for the daily administrative functions, such as: billing and tuition payments, center communications, scheduling and record keeping. The Administrative Operations Coordinator works with the Director and Assistant Director of the Center to help ensure that the center complies with licensing, accreditation, sanitation, and fire and health requirements. The Administrative Operations Coordinator will attend all Center events and meetings, assist in planning and preparation as well as provide documentation of events and meetings. The Administrative Operations Coordinator, under guidance and direction of the Senior Associate Vice President for Campus Services, will also be responsible for managing external contractor/service provider invoices, payments, and other related financial activities, as assigned.

  • Strong written and verbal communication skills

  • Excellent organizational and time management skills; flexible and capable of handling multiple tasks in a fast paced and ever changing environment

  • Great attention to detail; excellent bookkeeping skills

  • Proficient computer skills; strong competence in use of Microsoft Office software applications (word and excel)

  • Excellent interpersonal skills; patient, reliable and courteous under pressure and the ability to understand the needs of children, parents and staff

  • Enjoys and willing to work with small children in a developmentally appropriate manner

  • Ability to lift items weighing up to 35 pounds and climb stairs multiple times a day

  • Must pass criminal background check from the state police prior to employment

  • High school diploma or equivalent

  • Three years of administrative office experience, including two years of general bookkeeping experience

  • Bachelor's degree and three years of administrative office experience, including two years of general bookkeeping experience

  • Knowledge of ProCare software

  • Experience in creating classroom friendly signage and brochures

  • Familiarity with Concur and other Tulane payment methods

  • Experience providing support to contract administration
