This temporary position is located in Raleigh, NC - Wake County.

Job Order Hourly Rate of Pay: $31.25 (Based on education and/or years of relevant work experience reflected on the application).

This temporary position will be assigned to the Boards & Commissions. This position is located at 430N Salisbury Street, Raleigh, NC 27603.

This position applies best office practices and enforce established procedures with the operational support team.  Position assures completion of daily tasks related to documentation scanning, mail distribution, inventory management, helpdesk support, and reception (to include walk-in traffic and phone calls).  Serves as the liaison between management and operations support staff by transmitting decisions and directives.

ESSENTIAL DUTIES

  •     Monitor and distribute workload among operations support staff.

  •     Ensure daily coverage of front desk including providing front desk coverage.

  •     Provide administrative support and day-to-day oversight of incoming documentation processing.

  •     Perform a weekly review of documentation processing rates and suggest necessary adjustments to the Operations Manager.

  •     Provide Tier 1 support to internal and external customers through in-person reception, phone coverage, email, and helpdesk tickets.

  •     Troubleshoot documentation scanning discrepancies among operations support staff.

  •     Responsible for quality control of various operations support workflows.

  •     Coordinate daily incoming and outgoing mail distribution.

  •     Monitor general office supply levels to determine agency supply needs.

  •     Create an office supply management system to ensure adequate levels of supply needs are maintained across the agency.

  •     Oversee the shipment process to create a system for sensitive or confidential incoming and outgoing packages.

  •    Document standard operating procedures and workflows for various support tasks.

FISCAL MANAGEMENT

Position is responsible for safeguarding and distributing agency checks under the guidance of the fiscal management team.

Essential Duties

  •     Managing the cash management chain of custody log

  •     Train support staff on proper cash handling procedures

Anticipated Work Schedule

This position will be required to work standard working hours between 8 AM - 5 PM.  Additionally, the position may be required to work overtime during peak election periods.

  • Considerable knowledge of modern office procedures, practices, and equipment.

  • Basic knowledge of the principles and practices of public administration and business administration.

  • Basic knowledge of HR policies and practices.

  • Basic knowledge of accounting principles and practices.

  • Technical skills and ability to perform analysis in business operations, banking operations, accounting, and financial reporting.

  • Ability to prepare budget documents and reports; ability to monitor and maintain the financial resources of the organization to meet organizational objectives and compliance.

  • Ability to participate in allocating resources, planning, procurement, and oversight of budgets and contracts to ensure fiscal stability of the unit.

  • Ability to exercise judgment and discretion in applying and interpreting policies and procedures.

  • Ability to plan, assign and review the work of other.

  • Ability to understand and carry out oral and written instructions.

  • Ability to establish and maintain effective working relationships with associates, officials and the public.

  • Ability to express comments and opinions clearly and concisely in oral or written form.
