Position Summary

MBX Biosciences seeks a highly organized and proactive Office Manager/Administrative Assistant to join our team. The ideal candidate will ensure our office environment's smooth and efficient operation and actively assist in planning our Quarterly Together Weeks. This person will have a natural flexibility in handling day-to-day routines and act as an Administrative Assistant for our CHRO/CSO/CMO. In addition, this individual will assist the Human Resources team with scheduling interviews and supporting candidates in our interview and onboarding processes.

Key Responsibilities

Administrative Management

  • Act as the primary point of contact for the CHRO/CMO/CSO, managing calendars, including external and internal meetings and travel arrangements.

  • Manage the senior team's expenses and ensure timely submission and reimbursement.

  • Follow-up actionable items that arise from meetings, e.g., producing minutes and ensuring timely distribution of relevant documents.

  • Coordinating small and large meetings and events, both on and off-site.

Office Management

  • Serves as office manager and key contact person for all building matters, including managing incoming guests, welcoming candidates or new hires, and/or assisting MBX employees with related office needs. This includes assisting with Together Week Processes and office space needs for team members and visiting employees.

  • Follows purchasing and requisition procedures and manages POs regarding building/facility services suppliers, etc.

  • Coordinates facility management tasks and ensures proper building function in liaison with facility services supplier. Communicate tenant information from our building manager.

  • Ensures office and lab-related needs, including supply inventory and snacks/coffee area, are stocked and clean, and office equipment is functioning properly, maintained, and serviced as needed. May manage or oversee office cleaning providers and associated contractors to support office needs.

HR Administration

  • Assist the HR team with candidate interview scheduling and employee onboarding.

  • Coordinate internal and external resources and cultivate relationships with partners.

  • Assist the HR team with company events and employee programs, including Together Weeks.

  • Respond to requests and questions about HR or office operations and general company inquiries/requests.

  • May participate in other projects or responsibilities as assigned.

Additional Skills and Qualifications

  • High School Diploma or equivalent is required; B.A./B.S. or equivalent is preferred.

  • 5+ years of administrative or office management experience.

  • 3+ years of supporting VP Level or C-Level personnel.

  • Excellent interpersonal, verbal, and written communication skills.

  • Strong computer literacy skills; proficient in Microsoft Outlook, Word, Excel, and PowerPoint.

  • Experience in HR-related systems, including Greenhouse and HRIS or performance management-related systems preferred.

  • Strong organizational skills and keen attention to detail.

  • Ability to prioritize, manage multiple time-sensitive tasks, problem-solve, and operate in a rapid growth environment.

  • Strong multi-tasking and organization skills.

  • Ability to work individually and collaboratively.
