Administrative - Marketing Contract Associate

We have a current open opportunity for a Marketing Contract Associate to join our team! This position based at the corporate office, located in the Syracuse area, and supports the Marketing Department in daily operations.

Daily duties:

  • Edit and proof read documents used for presentations, brochures, website, etc.
  • Perform shipping for Marketing Department, includes packaging and creating shipping labels
  • Create purchase orders and place orders as requested
  • Undertake daily administrative tasks to ensure the functionality and coordination of the departments activities
  • Support marketing team in organizing various projects
  • Assist in the organizing of promotional events and traditional or digital campaigns
  • Communicate directly with clients and encourage trusting relationships

Requirements:

  • 5+ years of office-based Assistant experience
  • Excellent verbal and written communication skills
  • Demonstrable ability to multi-task and adhere to deadlines
  • Ability to read and interpret general business related documents, including proposals
  • strong planning, organization, and problem solving skills
  • Ability to lift up to 30 pounds on a routine basis

Learn more about this agency Responsibilities If selected for this position, you will serve as the Contracting Specialist for the United States Attorney's Office (USAO) for the Northern District of New York, exercising a delegation of authority to contract a variety of services, supplies and equipment. In addition, you will provide a variety of administrative support services in such areas as purchasing, budget, space management, security, internal controls, mail, records, reproduction services, forms management, and communication services. As well, you will conduct management analytical studies and analysis of these assigned program areas. Typical work assignments will include: * Reviewing requisitions to determine appropriate method of procurement. * Purchasing simplified acquisitions when needed/required in accordance with policy, procedures, and processes. * Establishing procurement plans and strategy based on market conditions, specifications, and technical requirements. * Drafting Statements of Work (SOW), Statement of Objectives (SOO), and/or other necessary documents prior to formal solicitation. * Evaluating proposals, unsolicited proposals, and other bid documents to determine fairness and reasonableness. * Drafting contract solicitation and award documentation. * Performing cost analysis and other evaluation actions to determine best value/lowest bid in award decisions. * Drafting final contract documents including specifications, packing/shipping requirements, inspection instruction, and other special/standard contract clauses. * Recommending awards documenting reasons for decision and justification. * Completes closeout of received services/supplies from delivery to receipt of invoices for payment. * Identifying, evaluating, planning, and procuring support services and office systems to improve the effectiveness of work methods/assignments/procedures and utilization of space/manpower/equipment. * Determining procedures to acquire common supplies and obtain goods/services, meet schedules, provide best price, and conform to acquisition regulations and other department guidelines/procedures. Responsibilities will increase and assignments will become more complex as your training and experience progress. If selected, you will receive formal and/or on-the-job training as needed. You must be able to attain and retain at least a Level 1 (One) Federal Acquisition Certification in Contracting (FAC-C) as a Federal contracting professional. FAC-C has specific training requirements with some courses online and in the classroom. To maintain a FAC-C, contract professionals are required to meet a continuous training requirement.
