Job Summary:

The Administrative Manager will help support the administrative needs of the academic department of Animal and Dairy Sciences in their research, instructional and outreach missions. This position will work closely with the Department Administrator to lead various support functions for the academic department. The support functions include administration, communication, facilities, finance, human resources, information technology, grants management and student services.

A highly qualified candidate will have a strong understanding and experience with human resources, grants, finance and/or general administrative operations in a higher education setting. They will also demonstrate strategic thinking, being able to identify areas for improvement and collaborate effectively with other staff and faculty to implement change and achieve goals.

Responsibilities:

Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.

  • 25% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • 25% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • 20% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • 15% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • 10% May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • 5% Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors

Qualifications:

Required:

  • Knowledge and experience with complex administrative, financial, grants, facilities, human resources policies and standards.
  • Excellent organizational and time management skills with the ability to balance daily tasks and ongoing projects to meet deadlines.
  • Professional written and oral communication skills and the ability to organize and communicate complex information effectively to various audiences.
  • The ability to work with others to find a solution to a problem. Collaboration involves critical and creative thinking.

Preferred:

  • Ability to use electronic systems, software and collaborative web-based programs to drive workflow collaborations and improvements. (Examples may include: Smartsheet, Jira, Notion, or Confluence.)
  • At least two years of experience working in an administrative role in higher education or similar setting.
  • Experience in creating and organizing standard operating procedures and writing policy.

Salary:

Minimum $65,000 ANNUAL (12 months)

Additional Information:

This position will be scheduled to work 40 hours per week with the intended schedule of Monday through Friday, 7:45am - 4:30pm.
