Reporting to the Dean, the Director of Operations provides support to the dean and oversees University College operations including but not limited to human resources, payroll, budgeting and financial planning and general office management. Serves as the liaison to other central offices on campus including but not limited to the Provost Office, Budget Office, Shared Business Services Center, Human Resources, etc.
Duties and Responsibilities include:
Provides leadership for the administrative, financial and operational functions of the college.
Prepares and manages annual budgets and monitors against actual performance, including reporting to dean and other constituents within the college.
Oversees and approves college financial commitments and expenditures.
Liaises with the Shared Business Service Center (SBSC) to process payroll, accounts payable, accounts receivable and financial reconciliations for all college accounts and funds.
Review Monthly Org Certifications (MOC).
Advise the College on financial, personnel, and other administrative matters.
Works in close partnership with central offices, such as Financial Services, Human Resources, IT, Provost, Budget, and others on matters impacting the College.
Works closely and provides financial, personnel/HR guidance to college directors to ensure university policies and procedures are followed.
Coordinates all facility matters, including capital projects.
Supervises, supports or performs personnel-related activities involved with hiring, promotion, termination, performance issues, position changes and compensation. Orients new faculty and staff to University and College policies and procedures. Assists new faculty and staff in obtaining office space, equipment, and other pertinent resources.
Performs office administration and provides professional administrative support to the dean.
Coordinates scheduling activities/travel arrangements for the dean and guests to the college.
Record/process/distribute meeting minutes for various meetings and initiatives.
Manage calendars, scheduling and attending meetings as requested by the dean.
Assist with coordination and carrying out special event/project planning for the college.
Oversee record maintenance (security, disposal, organizing) as deemed appropriate.

Required Education: Bachelor's degree, AND:
Equivalence/Substitution: Will accept 48 months related experience in lieu of the Bachelor's degree for a total of 72 months related experience.
Experienced in developing, managing, and overseeing budgets, projecting expenditures, and managing recommended solutions.
Ability to identify and implement operational efficiencies to improve the effectiveness of the College.
Proficient in navigating and maintaining databases.
Advanced Microsoft Excel skills with ability to build and manipulate spreadsheets.
Proficient in Microsoft Office 365.
Experience in leading and promoting a collaborative work environment.
Ability to consistently handle and prioritize multiple tasks while accurately attending to detail.
An effective and professional communicator with strong oral and written communication skills.
Self-motivated and able to work with minimal supervision towards problem solutions.
