Responsibilities:
- Manage and coordinate the administrative team to ensure timely responses to emails and task completion and ensuring that all floors are fully stocked.
- Mentor and coach administrative team such as weekly meetings and training when needed.
- Support the Office Manager with maintenance and upkeep of the office space and ensuring the smooth operation of a 33,000 sq. ft. office across multiple floors.
- Schedule and manage vendor visits, address operational issues, and ensure resolutions are completed.
- Coordinate with building management to ensure issues are addressed in a timely manner, reviewing after to ensure it was fully completed.
- Ensure nightly cleaning is completed across all floors.
- Review and accurately code company paid firm expenses and employee out of pocket expense reports using Concur.
- Manage subscription renewals for multiple vendors, securing approvals and maintaining and
- updating logs.
- Manage firm marketing materials with a designated vendor, ensuring sufficient stock and following the approval process for bulk orders. Working with teams to ensure materials are sent out in advance for conferences.
- Manage office copier maintenance contracts, logging monthly costs into a spreadsheet and maintain strong relationships with service vendors.
- Help support visiting senior executives while in the NYC office.
- Demonstrate flexibility with shifting priorities, proactively identifying and resolving issues or delays,ability to manage projects from start to finish.
- Assist with ad hoc projects and perform additional responsibilities as needed.
Desired Skills and Experience
- Bachelor's degree or equivalent work experience required. At least 6 years of relevant experience, ideally in a financial services or law firm.
- Strong organizational, written, and verbal communication skills.
- Demonstrated ability to manage and prioritize tasks in a fast-paced, high-pressure environment.
- Proactive, self-motivated, and disciplined with a strong work ethic.
- Friendly, collaborative, and team-oriented with a positive, can-do attitude.
- Experience with Concur.
The anticipated annual base salary range for this position is $90,000 to $115,000 plus annual discretionary performance-based bonus. Actual pay may be adjusted based on experience and performance.
