Position Summary

Manage the administrative operations for the Office of Research. Support school-wide general research operations and assist with development and oversight of school-wide policies/procedures for sponsored research administration. Advise Principal Investigators on grant funds management and budget planning, interpret terms of grant contracts, monitor appropriate spending, analyze and revise budgets, and prepare grant reporting.


Required Education:Bachelor's Degree or equivalent Preferred Education:Bachelor's Degree Required Experience:5+ years relevant experience or equivalent combination of education and experience. Must include experience with budgets/grants management within a University or non-profit setting.

Preferred Experience:5+ years experience in an academic or research environment. Required Skills, Knowledge and Abilities:Skilled in the use of Microsoft Excel with prior experience managing large, complex budgets. Excellent communication and interpersonal skills with a strong customer service orientation.

Highly responsive. Flexible and able to routinely juggle competing priorities in a fast-paced, deadline driven environment. Ability to establish and maintain collaborative relationships with diverse groups of stakeholders including faculty, students, and department, school and university administrators. NYU experience strongly preferred.

The Administrative Manager manages various financial systems, processes routine personnel transactions, and advises staff on financial and human resources policies and procedures. <br><br> The administrative manager serves as a liaison to Columbia University finance and human resource offices and provides support to the CI's Board of Directors finance and audit committees. The Administrative Manager also supports CI's fund development efforts</p><p>Responsibilities</p><p>A. Fiscal</p><p>1.Works with the Executive Director and Senior Associate Director to establish budgetary priorities, and to develop the annual 1.9 million dollar budget for CI.</p><p>2.Develops and supports the financial management of CI's Administrative and Programming Budgets including but not limited to the reconciliation of all accounts and ledgers for expense and revenue accounts, including endowment, gift accounts, cash accounts, and government grants.</p><p>3.Works with CI's independent CPA firm in managing the annual external audit, the firm's preparation of financial statements, and filing 1099s, the 990 and CHAR500.</p><p>4.Administers department purchases and conducts monthly analysis of accounts payable.</p><p>5.Executes CI's purchase orders in accordance with university guidelines, and processes invoices and reimbursements.</p><p>6.Provides reporting and support for government and non-governmental grants.</p><p>B. Personnel</p><p>1.Assists the Director and Senior Associate Director in hiring of Officers, Support staff, temporary staff, and student casuals.</p><p>2.Maintains time off records for officers and processes timesheets and pay for support staff.</p><p>3.Participates in hiring, oversight, training and supervision of up to 4 work-study students and/or casual student workers.</p><p>4.Processes background checks for Columbia student volunteers.</p><p>5.Processes routine Personnel Action Forms, Add Comps, and E-terms.</p><p>6.Advises staff and students on internal and university-wide financial and human resources policy and procedures.</p><p>C. General</p><p>1.Provides administrative and fiscal support for Executive Director and Senior Associate Director in other related projects and other tasks assigned.</p><p>2.Assists with various CI fundraising efforts.</p><p>3.Performs other duties as assigned.</p><p>Minimum Qualifications</p><p>Bachelor's degree and/or equivalent and a minimum of two years related experience required, preferably in a position including financial responsibility.</p><p>Strong financial and accounting and computer skills, including spreadsheets, required. Excellent interpersonal, organizational and communications skills, verbal and written, necessary. Ability to acquire skills of the University's financial and personnel systems required.</p><p>Strong proficiency with excel, accounting and reporting at Columbia and QuickBooks. Prior experience with audits and grants management.
