JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Manager is responsible for the day-to-day activity management of the UTHSC Tennessee Population Health Consortium. This position manages and oversees the operations of the Consortium.

DUTIES AND RESPONSIBILITIES:

  • Provides support primary care practice, health system, and research leaders across the state-through the management and general business operations of the Consortium.

  • Serves as primary access point for partners to receive access to the Consortium's main services.

  • Schedules, creates, and manages key Consortium activities.

  • Facilitates multiple multi-organizational committees - Tennessee Heart Health Network and Diabetes Wellness and Prevention Coalition (Advisory, Steering, Data Governance, Community Advisory, and Provider Collaborative Committees)

  • Manages monthly research conferences, guest speakers, as well as multiple University system and UTHSC campus committees.

  • Performs continuous assessment of the program to ensure program requirements are met.

  • Coordinates with business office to route and follow up on business related tasks.

  • Serves as the primary liaison between outside organizations, health systems, quality improvement organizations, and consulting firms and UTHSC faculty, staff and/or students as it relates to the scope of work for Consortium activities and specific contracted services.

  • Represents and reports the activities of the Consortium at high-level meetings to outside organizations, health systems, quality improvement organizations, consulting firms, UTHSC faculty, staff and/or students, and other key stakeholders and funders.

  • Maintains relationship with high-level executive offices of regional and statewide health systems, various community organizations and agencies, local and federal funding agencies, and individual philanthropists and philanthropic organizations.

  • Consults, advises, and provides guidance to member faculty, staff, students, and stakeholders.

  • Develops, implements, and maintains Consortium operating and functional procedures.

  • Performs other duties as necessary.

MINIMUM REQUIREMENTS:

EDUCATON: Bachelor's Degree. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of relevant professional administrative experience; OR Master's Degree in lieu of experience; OR a combination of related education and work experience to equal six (6) years.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent oral and written communication skill.

  • Ability to multitask and manage concurrent deadlines.

  • Ad proactive approaches to problem-solving with strong analytical and decision-making capability and skills.

  • Ability to make administrative/procedural decisions and judgments based on knowledge of university policies and procedures.

  • Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

  • Advanced skills in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe Acrobat and SAP/GUI software.

  • Ability to work with limited supervision and use discretion and independent judgment to handle various issues as they arise each day.

WORK SCHEDULE: This position may occasionally be required to work evenings and weekends. May require occasional overnight travel.
