Position Summary

The Administrative Manager will provide administrative support in a research setting such as coordinating seminars, compiling financial reports, assisting with grant submissions, and processing laboratory orders.


  • Seminar organization (e.g., scheduling, speaker travel, food, announcements, promotion/social media)

  • Assistance with grant proposal submission and administration

  • NIH ASSIST data entry (e.g., budget forms, PDF uploads)

  • Organization of administrative components for submission

  • Subcontract follow-up

  • Laboratory administrative support

  • Ordering (e.g., ordering office supplies, laboratory supplies through Quartzy)

  • Monthly spending and account balance reports

  • Facilities and maintenance requests

  • Assist with setting up new hires and students (e.g., coordinating with Orthopedics Human Resources, OrthoIT, building access, UNIs, health clearances)

  • Assist with manuscript editing and publication submission

  • Provide quarterly academic dashboard information for Carroll Labs' faculty

  • Perform other related administrative duties as assigned

Minimum Qualifications

  • Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience

Preferred Qualifications

  • Experience in research preferred but not required.

This position will support the department’s leadership in the day-to-day operations of the department. This work is carried out in support of the mission and goals of Independence Care System</p><p><strong>Essential Functions</strong></p><ul><li>Facilitate and maintain the processes of obtaining required enrollment documents (e.g. DOH 5055, Plan of Care) and ensure that they meet the NY State Department of Health compliance standards for enrollment.</li><li>Follow-up with non-compliant members via weekly worklist and complete appropriate documentation.</li><li>Upload cover letters and updated member forms in Care compass</li><li>Complete weekly status report and monitor adhoc reports for trend.</li><li>Follow-up with care team as appropriate for updates and intervention </li><li>Manage administrative functions, such as transportation (Access-Ride & Easypay) money billing and reconciliations.</li><li>Follow-up with doctors for open On-A-Roll Plan of Care requirements.</li><li>Reconcile monthly Amex accounts for several departments.</li><li>Respond to the needs of members and the organization, even if those needs do not coincide with the details of this job description</li></ul><p><strong>Requirements</strong></p><ul><li>High School Diploma or equivalent</li><li>Minimum 2-years’ experience in related field</li></ul><p>Additional Qualifications</p><ul><li>Working knowledge of Medicaid</li><li>Associates Degree or higher preferred</li><li>Bilingual in any second language preferred</li><li>Community-based healthcare experience preferred</li></ul><p><strong>Benefits</strong></p><ul><li>28 days of PTO, plus 11 holidays, in your first year</li><li>35 hour work week</li><li>partially-remote position (approx 60% remote)</li><li>excellent benefits, including health insurance, tuition support, and paid disability leave</li></ul> Independence Care System Brooklyn NY
