THE POSITION

Administrative Generalist would be supporting our administration staff and their teams. This role is essential and highly visible as you will spend time collaborating with individuals across the organization. Whether it is taking care of calendar management, helping with presentations or connecting the dots between internal and external team members, our assistants are the ones behind the scenes making things run smoothly.

Principal Responsibilities:

  • Help with scheduling and calendar management

  • Help with scheduling candidates for the team; this duty has a very critical timing factor

  • Help with organization and planning team meetings, including off-sites

  • Help with organizing meetings (including room assignments, calendar invites, food, materials, etc.)

  • Ensuring the staff has appropriate materials and time to be prepared for meetings

  • Ability to respond quickly to requests and adjusting schedules on the fly to accommodate the teams needs

  • Ability to adapt and adjust coverage as needed

  • Effective communication skills even in high-tension situations with ease

  • Strong organizational skills and can work independently, is self-directed based on little direction

  • Maintains discretion and confidentiality

  • Help with Invoices/Check Requests

VIEW JOBS 6/15/2019 12:00:00 AM 2019-09-13T00:00 Job Description General Summary Reporting to the Facility Manager, the Sourcing Assistant will be responsible for performing administrative and inventory control tasks for supplies, stationary and equipment. This role is client-facing and requires the ability to develop and maintain excellent client relationships while delivering the exceptional customer service and follow through. This is a full-time hourly position and will serve the initial point of contact for purchases locally, while contributing and collaborating with administrative team. Essential Job Functions Primary Job Functions * Supports purchasing activity locally. * Coordinating and managing all activities during the purchasing process, such as creating purchase orders, monitoring transportation, deployment, invoice processing and follow-through. * Analyze and monitor internal, economic and consumer trends to forecast inventory needs * Process payments, returns of merchandise and pricing. * Organize and maintain inventory both physically and via databases and online systems. * Engage with vendors to negotiate pricing and terms. * Troubleshoot orders, manage and obtain required documentation and approvals. * Audit and maintain inventory control of products to get moved timely and to the proper locations. * Maintain inventory control systems and processes. * Ability to develop a well-organized system/processes and operate with minimal supervision. * Collaborate with various departments regarding purchase needs. * Ability to financially plan requests and maintain budget. * Ensure accurate and timely orders of office supplies are placed, tracked and delivered in a timely manner including special requests through approval process with Facility Manager. * Order, track and deliver business card orders for employees and company stationary and promotional items, ensuring accuracy and timely delivery. * All other duties as assigned. Secondary Job Functions * Manages time and resources by using tools provided by NVA (phone, fax, email) in order to maximize productivity and to accomplish tasks on time * Keeps management informed by reporting problems to management verbally or in writing. * Extensive knowledge of the function and department processes.
