The Administrative & Fiscal Coordinator serves as the first point of contact for the Financial Operations office, primarily providing administrative support to the Financial Operations teams and with direct support of the Payroll and Tax Compliance office.

The successful candidate will have strong attention to detail, accuracy in daily work with the ability to manage multiple and competing priorities. Strong analytical skills with the ability to compile, analyze data and prepare reports

Responsibilities include (but are not limited to):

  • Maintain leadership calendars, prepare vouchers/invoices, travel authorizations and expense reimbursements as needed.

  • Reconcile operational indexes and budgets.

  • Serve as the first point of contact (walk-ins, emails, phone calls) answer routine questions and respond to inquiries

  • Perform general clerical duties: processing and distribution of mail, maintain supply inventory and file records.

  • Process various payroll forms, including direct deposit and tax forms.

  • Responsible for monitoring, follow up and reporting of payroll compliance issues including timesheet approvals, taxable benefits, stale-dated checks and others.

  • Monitor in-coming payroll documents/requests, including manual timesheets, payroll deduction requests, and batch memos; review documents for accuracy and route to appropriate channels to ensure timely processing.
