Directs all managerial aspects of the Division of Breast Surgery within the Department of Surgery. Responsible for clinic and patient care delivery system activities of the Division. This also includes administrative, financial and research management, ambulatory and clinical operations, human resource management, quality assurance and resource allocation.


Clinical and Administrative Operations

  • Provide oversight to outpatient clinical operations. Provide support to outpatient clinic staff, including Practice Manager on staffing, budgeting and logistical issues. Work with clinic staff to provide an environment conducive to positive customer service.

  • Prepare annual budgets for each cost center in the Division. Manage and provide oversight on divisional expenses and identify budget variances. Prepare and present plan to address budget variances to physician leadership.

  • Responsible for the Division's revenue cycle management process. Will work with BWPO-Surgery staff and billing vendor, McKesson, to ensure that the Division's billing is completed timely and accurately. Run and analyze POLR reports monthly and identify any trends necessitating follow-up action. Actively engage in the billing process by communicating with divisional staff, the BWPO and McKesson to facilitate consistent and ongoing improvement.

  • Manage all day-to-day operational activities including resolution of personnel and delivery system problems. Develop and implement resolutions of complex problems between support staff within the Divisions. Monitors general department morale and job satisfaction. Troubleshoots potential problems and grievances.

  • In conjunction with BWHC programs and initiatives, stress and focus on customer service to future enhance the patient experience. Provide employees with training and regular feedback to embrace customer service principals.

  • Represent the Division internally and externally at meetings, conferences, etc. Relay all necessary hospital and foundation correspondence to appropriate people within and outside the division. Serve as a resource to both physicians and staff regarding hospital policy and practice management issues. Refer matters to others as action items when appropriate.

  • Assist with managed care, global fees, other insurance and referral contracting activities and works collaboratively with Executive Administrator and Billing and Compliance Manager.

  • Facilitate and lead the Division business and strategic planning process. Identify business opportunities and collaborate with all shareholders to prepare and implement the business planning process.

  • Meet regularly with supervisory staff and physicians to plan and regularly review succession planning for all administrative and clinical support staff positions in the Division to ensure effective and efficient transitions for all positions.

  • Assists Executive Administrator and Division Chief in the planning, allocation, negotiation and operation of administrative and clinical space, which constitutes locations on and off campus. This involves coordinating the divisions planning process, analyzing utilization and needs assessments, addressing safety and security issues, researching and making recommendations for procuring equipment, determining timetables, monitoring the new construction/renovation processes and support staff hiring. Develops protocols for hiring staff, which includes standard level training and appropriate orientations.

  • Management of all information systems needs for the Division, which includes the implementation and utilization of Epic and legacy systems (IDX, BICS, LMR, Percipio) and other necessary software. Provide and facilitate training for all staff and faculty.

  • Responsible for quality assurance which includes compliance with all quality standards and guidelines for clinical research operations and ensuring that the Division is in compliance with Joint Commission, federal and state guidelines.

  • Collaborate with the Division Chief and Executive Administrator in the development of short and long-range planning for Division, including satellite locations.

  • Manage the oversight and monitoring of the purchasing of supplies and equipment within the Division, including cost-containment measures.

Financial Management

  • Manage, along with Division Chief, office income and expense budgets and on maximizing income and decreasing costs. Management of these funds includes analysis of financial reports for viewing by physicians and development and implementation of strategies to maintain/improve performance.

  • Ensure the accuracy and timeliness of the professional billing of surgical services (ambulatory, procedures, and inpatient services), including demographic and insurance information.

  • Oversee monthly activity reports and creates executive summaries for Executive Administrator and the Division Chief. This includes projections and recommendations on how to maximize growth, budget and financial comparisons, variance explanations, and monthly accounts receivable/reimbursement analysis and management.

  • Conduct financial and operational forecasting and modeling for existing and new programs and services.

  • Conduct periodic review of Division's financial status, which includes review and development of proposals and plans for new programs, financial impact studies for both the hospital and practice.

  • Identify cost reduction opportunities and revenue enhancement opportunities within the practice. Authorizes operational expenditures of funds from BWPO/BWH accounts for the division.

  • Act as liaison to BWPO/Surgery staff on any referral/billing issues and establish audit systems to develop and tracking processes.

  • Ensure activities involving non-professional payroll are completed for employees in the Division, which includes mandatory training on KRONOS timekeeping systems.

Strategic Planning and Program Development

  • Collaborate with Executive Administrator, Division Chief, and BWH Vice Presidents in developing strategic and long-range plans for the Division, which includes market and trend analysis, planning, systems development, and on-going monitoring.

  • Collaborate with Executive Administrator and Division Chief on the start-up of off-site surgical practices (i.e., Faulkner Hospital, South Shore Hospital, and Foxboro) by providing consultative review of financial analyses and operational plan.

  • Periodically conduct systematic markets and service analysis for the Division and develop reporting mechanisms, strategic responses and other appropriate interventions based on findings.

  • Actively participate in practice development with the Division Chief and each surgeon within the Division, which includes conducting meetings with managed care providers, community hospitals, primary care providers, and any other patient distribution channel.

Research Management

  • Responsible for quality assurance which includes compliance with all quality standards and guidelines for clinical research operations and ensuring that the Division is in compliance with Joint Commission, federal and state guidelines.

  • Oversight and management of all research staff within the division, including but not limited to research assistants, lab managers and clinical research assistants.

  • In conjunction with the Sr. Administrative Director for Research Administration, and the DOS grants management team, manage all funds supporting research for the division


  • Directly reports to the Division Chief and Executive Director in the Department of Surgery.

  • Interacts extensively with BWPO/Surgery, BWH ambulatory services and BWH Administration.


  • Bachelors Degree required, preferably in Business, Public or Health Management or, the Sciences, and a minimum of five (5) years of management in a healthcare environment. Masters strongly preferred.

  • Knowledge of office operations in the patient care setting.

  • Knowledge of hospital and private practice billing functions and procedures.

Supervise approximately 25 full-time equivalents through a collaboration of direct/indirect supervision.


Due to the size and complexity of managing the division, the pace of work is fast paced and challenging. The workload could necessitate working occasional evenings.

This individual is responsible for assisting the Division Chief with a variety of projects and administrative tasks, including but not limited to recruitment activities and visiting professorships, requested by the surgeon, which includes booking hotel conference/function rooms, catering and entertainment. Reporting to the Senior Administrative Director, the Project Coordinator will be responsible for project implementation support, timeline management, written communications, and timely outcomes. Must be exceptionally detail oriented, able to work independently while exercising discretion and judgment to complete work by appointed-deadlines with minimal supervision. Project Support - Responsible for project plan development, budget, implementation support, written communications, and timely development of deliverables. (45%) * Provides project support on new and on-going initiatives * Prepares a summary of activities * Maintains confidentiality of information that is sensitive in nature while ensuring that project goals are achieved * Manages the day to day operational aspects of scope of project * Proposes and manages budget of project (as needed). * Takes ownership of projects under the direction of the Administrative Director. Makes decisions and executes on project assignments based on knowledge of division, and through research and collaboration * Develops policy and training documents related to processes * Projects to be managed include but are not limited to: i. Visiting professorships, including all educational and supporting events at BWH, DFCI, and off-campus, as well as all guest accommodations ii. Assist with planning and implementation of surgeon/faculty recruitment activities iii. Assist with planning and implementation of patient education events including those related to B-PREP program iv. Assist with planning and implementation of Annual Division Retreat, Annual Holiday Party and staff appreciation events v. Maintain central repository for Division Complications vi. Create and maintain Division Call Schedule for all surgeons and fellows vii. Management of the Schlager Family Breast Assistance Fund, to include purchasing, documenting, distributing gift cards for patients, booking hotel rooms for patients. Maintain files associated with the distribution of the gift cards, encourage/educate staff regarding the usage of this fund viii. Assist with development and maintenance of medical student and resident educational curricula and materials ix. Other projects and tasks as needed by the division. * Division Billing & Financial Management (35%) * Execute the multiple components of the division's comprehensive Billing/Coding/Reimbursement System to allow for maximum reimbursement and compliance – working with division leadership, staff, Department of Surgery finance staff, billing vendor – McKesson staff, etc. Actively monitor all billing/coding/reimbursement processes and correct any issues/variances as they arise. This includes managing all claim edits and denials, rejections and appeals in the PHS Epic system. * Identify new areas of revenue enhancement and/or new problem areas and create processes and tracking metrics designed to effectively maximize opportunities. * Train & enforce all new procedures for revenue cycle management among existing staff and train new employees during orientation period. * Manages and is responsible for ensuring that all authorizations and referrals are collected and obtained and that there are standard processes in place * Responsible for reviewing and submitting all expense reports and check requests for surgeons in the Divison. * Fellowship Program, in collaboration with MGH fellowship program coordinator (20%) * Manage fellowship application requirements, including processing and assessing applications from central application site, supporting the program director in identifying applicants qualified for interviews, responding to prospective applicant's inquiries, notifying applicants of interviews, and coordinating interview dates with both faculty and applicants * Assist Brigham and Women's Hospital (BWH) Provider Services and the BWH Department of Surgery Chairman's office with fellow credentialing, medical licensing, hiring offer letter, and on-boarding of incoming fellows, and coordinating these processes at Dana-Farber Cancer Institute (DFCI) * Coordinate on-boarding of fellows including DFCI and BWH orientation sessions, occupational health requirements, obtaining necessary physical resources (white coats, pagers, business cards), office space and supplies. * Coordinate monthly fellowship schedule to include all required rotations with multidisciplinary colleagues. * Coordinate breast surgery fellow independent clinic at BWH * Monitoring and documentation of all fellowship educational activities including clinical rotations (including activities at MGH, BWH and DFCI), curricula, evaluations (of the fellow by the faculty and of the faculty and the program by the fellow), clinic participation, SSO operative case logging, license verification and renewal * Coordinate monthly calls for fellowship program directors * Coordinate educational events such as orientation and graduation activities, and quarterly multi-disciplinary teaching conferences * Support special projects and educational activities as requested. * Assist with yearly community service requirements for the fellows * Assist program director with site visit documentation as needed * Assist program director with all other documentation of fellow activities and program activities as requested by Partners Office of Graduate Medical Education (GME), and the Society of Surgical Oncology (SSO) * Other projects and reporting functions as assigned by program director 1. Relevant bachelor's degree and/or 3-5 years experience in relevant job required. Areas of special consideration include healthcare/hospital management, public health, marketing/communications, social sciences, or business 2. Proficient user of Microsoft Office suite, including Excel and Access. SQL familiarity a plus. 3.
