Position Summary:

The Administrative Coordinator/Receptionist will report directly to the Executive Assistant while interacting with employees at all levels. The Administrative Coordinator/Receptionist serves as the face of the organization to employees, visitors and clients via phone; therefore, must be a poised, polished professional that functions with a high level of integrity, confidentiality and excellence. The Administrative Coordinator/Receptionist assists with daily office functions to ensure company efficiency in order to meet organizational standards. The Administrative Coordinator/Receptionist also supports various other HR and administrative functions as needed.

Key Responsbilities:

  • Ensure Office is always clean and organized.

  • Receive all visitors and guests following office procedures and determine access to be given. Including issuing security badges to visitors and new employees.

  • Logs and maintains physical security of all keys for the office buildings, desks, storage rooms, giving access only to those approved.

  • Assist with answering and directing all main line calls and faxes to the appropriate recipient.

  • Assist with managing voicemails, researches call details and directs to appropriate recipient.

  • Verify and sign for all parcel deliveries and notify addressed recipient.

  • Assist with voice-messaging notification for Employees regarding office hour delays or closures.

  • Receive, sort, scan and distribute daily postal mail.

  • Run office errands as needed.

  • Coordinate the use of all meeting rooms and manage calendars accordingly.

  • Maintain organization and resources for meeting rooms.

  • Responsible for setting up and breaking down meeting spaces, including training room.

  • Handle new hire set-up and termination process or prepare or unfurnish work stations, etc.

  • Conducts office tour for new hires as needed

  • Prepare business reports for meetings as requested

  • Order and stock office supplies.

  • Conduct monthly safety walks to comply with Emergency Action Plan and share results with Executive Assistant

  • Assist with the planning, scheduling and execution of events and celebrations.

  • Assist with office maintenance and janitorial as needed.

  • Build relationships with peers and other stakeholders (internal and external).

  • Assist and act as back-up to Executive Assistant with special projects as assigned or as business needs arise.

  • May travel between offices to provide front desk support as needed.

  • Maintain discretion and confidentiality surrounding assigned projects and documents.

  • Other duties as assigned.

Requirements and Qualifications:

  • High School Diploma or GED.

  • 1-2 years of experience working in customer service, administrative support or similar role.

  • Prior experience working in an office environment preferred.

  • Able to work Monday-Friday. Must be flexible to work earlier or later as required.

  • Excellent verbal and written communication.

  • Equivalent combination of education and experience will be considered.

  • Must have strong computer proficiency and understand how to use basic office applications, including MS Office (Word, Excel, and Outlook).

  • Regular and predictable attendance.
