Join a highly engaged team at our Scripps Whittier Diabetes Institute, where the administrative coordinator provides administrative support to senior leadership. Assists with process improvement relevant to the functions of the department. Responsible for answering incoming calls to department, triage of department visitors, mail distribution, maintenance of department supplies, facilitation of communication, meeting set-up and calendar management.

This is a full-time position located in La Jolla, 7am start time. Weekend and varied shift availability required upon request.

Preferred Qualifications:

  • Knowledge of computer software including Word, Excel, Power Point, Spreadsheets

  • Microsoft Office scheduling

  • Ability to communicate effectively both verbally and in writing

  • Adaptable and able to multi-task in a fast paced environment

  • Experience in customer service and office environment

  • High comfort developing marketing material; flyers and department newsletters

Summary The Research Administrative Services department's mission is to facilitate outstanding research at the Institute. We achieve this by directly assisting the faculty with sponsored research administration, compliance, and regulatory requirements associated with research funding mechanisms and processes. We are in search of a Manager, Research Administrative Services to provide oversight for the team in achieving our goals, initiatives and the department mission. The Manager is accountable to the CAO/CFO and responsible to develop, lead, manage and sustain a team of Research Assistants (RAs) charged to deliver outstanding, effective, efficient, consistent and professional administrative support to SBP faculty. The Manager must possess strong technical, human and conceptual skills, being able to effectively support and provide guidance on a wide range of services in an environment with often demanding and changing requirements. Our ideal candidate will also possess and demonstrate a developed understanding of relationships and interdependencies among faculty and SBP operating departments. Primary Responsibilities * Develops relationships with and understands the specific needs of SBP faculty members and continuously assess the quality of the RA service offerings to each SBP faculty member * Develops relationships with operating department heads and personnel to continuously assess policies, procedures and workflow to ensure effective, efficient operations that are fully compliant with all relevant laws, regulations and rules * Develops and disseminates policies, procedures, workflows (among SBP departments), resource repositories and tools as required to efficiently and effectively satisfy faculty needs * Develops and leads orientation of new employees and conduct regular training of extant RA team members to ensure consistent understanding, appropriate use and compliance with all policies, procedures and workflows * Provides technical support to RAs and manages conflict resolution * Develops and continuously updates the RA job description to ensure job requirements evolve to reflect the ongoing needs of SBP's faculty * Develops reasonable and rational bases for allocating RA resources among faculty to ensure continuous and timely satisfaction of needs * Assigns, monitors and allocates resources based on RA ability to meet variable demands and ensures consistent service levels to all SBP faculty * Evaluates and documents RA performance against standards and basis for promotion * Surveys faculty for quality of RA service * Ensures RA maintain compliance with SBP policies including time sheets and time off requests Required Experience * Bachelor's degree and five years' experience in research administration/management, or an equivalent combination of education, training and/or experience from which comparable knowledge, skills and abilities have been attained * Two years of prior supervisory experience required * Previous experience in a research institution, university or an institution of higher education (preferred) * Experience with and knowledge of major federal/non-federal sponsors and federal circulars (preferred) Knowledge, Skills, and Abilities * Demonstrated ability to work independently managing tasks of various complexities * Knowledge of problem solving and process improvement methods * Must possess excellent verbal and written communication skills with the ability to clearly articulate and communicate to faculty, administration, management and others * Must possess ability to organize and prioritize workload and be proactive in identifying project needs and requirements * Self-motivated with sound decision-making skills * Expertise in Microsoft Office, PowerPoint, ADOBE, InfoEd and EndNote * Develop and maintain a supportive work and team environment * Embody the Institute's core values of Commitment, Collaboration, Communication, Community and Compassion Sanford Burnham Prebys Medical Discovery Institute is an Equal Opportunity employer – M/F/Veteran/Disability – committed to the hiring, advancement and fair treatment of all individuals.
