Preferred Qualifications Position Summary

This person will serve as the administrative coordinator. The administrative coordinator will provide administrative leadership in the coordination of office programs, communications and processes, management of student workers, and the compilation of information for OID reports.

Knowledge, Skills, Abilities and/or Competencies

Working knowledge of office practices and procedures and excellent organizational and analytical skills.

Ability to use discretion with confidential information and independent judgment.

Ability to prepare administrative documents and work independently to analyze.

Ability to develop and maintain effective working relationships and communicate effectively.

Ability to work under extremely limited supervision.

Support for Director and Vice Provost

  • Manage calendars, coordinate meetings, and arrange travel.

  • Generate travel authorities and travel reimbursements.

  • Screen phone calls, open and review and/or respond to incoming mail.

  • Send reminders and follow-up emails for committees, appointments, and special events.

  • Coordinate office staff meetings.

Percentage of time 35 Duties/Responsibilities

Coordination of programmatic timelines, office communications and scholarships

  • Monitor programmatic timelines for large-scale OID events.

  • Assist with the yearly coordination and award of scholarships facilitated by OID.

  • Write, edit, and/or coordinate the preparation of letters, speeches, and printed materials.

  • Manage OID website, social media accounts, emails, and mailing lists.

  • Coordinate meetings for OID committees, councils, and advisory groups.

Percentage of time 25 Duties/Responsibilities

Management of student workforce and professionalism in frontline service

  • Hire, train, and supervise the student workforce.

  • Set an optimal work schedule for the student workers each semester.

  • Assign tasks to student workers and monitor their performance.

Collection and compilation of information for reports and special projects

  • Gather information for OID reports, applications, and assessments

  • Work in coordination with OID staff to complete special projects
