The Administrative Coordinator is responsible to provide executive administrative support to the Sr. Vice President, Treasurer, Finance.

Essential Job Duties:

  • Screens and directs incoming calls to the Sr. Vice President Manages calendar and day-to-day meetings planning. Anticipates executive and office needs and escalates important matters as necessary.

  • Prioritizes office support activities. Produces correspondence and agendas.

    Sorts and distributes mail and faxes. Handles building/facility issues.

  • Creates and maintains presentations and reports in Word, PowerPoint and prepares spreadsheets and reports in Excel.

  • Supports and monitors budget process and related issues.

  • Proactively responds to facility requests and questions.

  • Coordinates and supports administrative items related to financial and real estate processes. Performs activities on-time and as needed.

  • Makes travel arrangements and prepares expense reports. Processes transactions in a timely manner.

Job Requirements

High School diploma with 3 years experience required.

Advanced Outlook and Microsoft Office, Word, Excel, and PowerPoint.

Excellent interpersonal, telephone, communication (oral and written) and organizational skills are required.

Experience interfacing with all levels of employees, managers, directors and VP's.

The ability to work in a fast paced confidential environment and coordinate multiple projects/tasks at a time.

Job Summary: Our finance department is looking for a Sr. Finance Manager of North America Fulfillment to join our team! This position will be responsible for operations analysis, financial performance measurement and reporting. General department responsibilities include operations analysis, planning, financial forecasting, reporting, and capital management. The ideal candidate will have exceptional technical skills with spreadsheets and databases along with demonstrated financial analysis capabilities and creating PowerPoint presentations for Executive review meetings. Responsibilities: * Prepare and ensure accuracy of monthly North America financial reports for Senior Executive Leadership review. Establish and maintain procedures to consolidate and synthesize relevant data and commentary from Fulfillment Operations and Operations Finance to succinctly articulate meaningful and relevant drivers of performance within presentations. * Lead improvement of consolidation of financial information for forecasting and reporting by identifying opportunities and driving changes to modifying processes and tools used in its completion. * Establish and maintain a user-friendly method of sharing weekly/monthly financial information with Operations Finance Leadership team, such as leveraging SharePoint or Radial portal. * Establishes cadence and oversees tracking of monthly calendar of interconnected Operation Finance deliverables. Evaluate, identify, and drive change to remove road blocks and minimize hurdles throughout organization to enable timely execution of team deliverables ensuring deadlines are meet. * Lead monthly consolidation of Operations Finance capital forecast and reconciliation of changes from prior forecast. Prepare summaries of capital performance. * Leads update/creation of Global Fulfillment Operations LRP. Partner with Corporate FP&A to provide relevant inputs into consolidated LRP model. * Partner with department heads and finance team in completing monthly and annual forecasts for independent operations, entailing preparation of metric, income statement, and capital forecasts. * Prepare and present weekly and monthly results reviews for independent operations, with in-depth analysis on activity, expenses, and risks. * Responsible for maintaining and reporting financial and operational information at the partner (client) and functional levels. * Assist corporate finance in analyzing selected GL accounts and routine monthly closing activities. * Providing operational support including analyzing efficiencies, helping develop operational standards, driving continuous improvement efforts within the fulfillment business. * Respond to direct requests from Finance, Operations and other functional departments with timely and accurate information. * Oversee activity-based cost accounting for fulfillment costs and operational metrics. * Responsible for tracking and reconciling fulfillment activities with contractual agreements across all business partners. * Lead the development of profitability models to analyze different categories of the business. * Develop necessary insights and recommendations for key decisions within functional departments. * Interact on behalf of finance and fulfillment operations with various internal departments at various organizational levels.
