Salary Range: $62,400 to $63,250
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Administrative Coordinator is responsible for providing administrative support for the Office of Student Affairs, including Student Activities/P&S Club. The administrative coordinator is charged with creating a welcoming and responsive office culture dedicated to the highest level of customer service. Reporting to the Director, the Administrative Coordinator will assist with various projects supporting the student experience at the Vagelos College of Physicians and Surgeons.
Responsibilities
Oversee the management of office supplies, equipment, and facilities requests for the office
Execute all accounts payable and purchasing transactions, inclusive of travel/business expense reports, check requests, purchase orders, interdepartmental invoices, journal entries, and requisitions
Work under the direction of the Senior Finance Manager to obtain necessary approvals for purchase orders and contracts, as well as review and resolve items returned for correction by central administrative and financial offices
Assist with the Director with all events, including Orientation, Annual Club Fair, Club Leadership Training, Leonides and Super Night
Work closely with the Director to assist in the preparation for and execution of a wide array of school celebrations and signature events, including but not limited to the annual White Coat Ceremony, Transition Ceremony, Match Day events, and Commencement-related events
In collaboration with the Director of Clubs and other staff in Student Affairs, designs and develops programming and initiatives to engage students in the house activities across classes in events and co-curricular activities
Assist with room management assignments
Manage campus digital display
Supports the student affairs and office of education team with ad hoc projects for medical student events, ceremonies, and meetings as needed.
As a member of the Student Affairs and Office of Medical Education Teams, provides cross-coverage and backup support for other office and program staff as needed.
Other duties as assigned.
Minimum Qualifications
Preferred Qualifications
Experience in a high-volume, high-demand service area
Experience working with college or graduate school students; experience with medical education, or experience in a clinic or hospital setting
Other Requirements
Excellent interpersonal, writing, and communication skills are required.
Proficiency of Microsoft Office Suite, especially Microsoft Word and Excel
Ability to successfully prioritize multiple responsibilities and projects.
Strong sense of teamwork including the ability to establish and maintain strong relationships.
Ability to manage professional relations with various constituencies and represent the programs, department, and institution in a positive manner will be expected.
