The Administrative Coordinator, reporting to the Site Planning Senior Manager is responsible for processing all drawing requests received by the Site Planning Department and will distribute to the appropriate Planning Team. In addition, you will perform various forms of planning and office administration support, including assisting of the Site Planning staff, answering questions from the field relative to Site Planning, and updating spreadsheets for data tracking.
The Site Planning Team uses a variety of computer applications to produce layouts and drawings of medical facilities showing equipment in appropriate locations, as well as electrical and support requirements. Our Drafter Designers translate verbal and/or written instructions into drawings of medical equipment to be used for architectural layouts and site planning information. The team is also responsible for performing various forms of site planning technical support, including answering questions from the field relative to drawings, site planning specifications, site research, or product research.
You are responsible for (but not limited to)
Acting as the central point of contact for Philips Field Personnel
Ensuring all incoming drawing requests for IS and PCCI are processed completely and accurately in order to make sure the planning process remains efficient (15,000 + requests yearly)
Responsible for communicating and distributing all of incoming information to the central planning e-mail
Updating reports within Excel and keeping track of team metrics
Ensure all non-drawing requests are fulfilled in an accurate and timely manner
Plotting and shipping full-scale floor templates
Process Purchase Orders
Planning of Virtual and In-office activities, events, meetings, etc.

To succeed in this role, you should have the following skills and experience
1 + years of relevant experience and an Associates Degree in related field; Bachelor's degree a plus
Proficient in Microsoft Office Applications
Ability to manage multiple tasks simultaneously
Strong initiative and ability to work independently with minimal supervision
Excellent interpersonal skills and ability to demonstrate strong customer service, patience, and courtesy in difficult situations
