Title:

Administrative Coordinator (NASA Headquarters)

Purpose:

This position is located in the Office of the Chief Health and Medical Officer (OCHMO), NASA Headquarters. Incumbent serves as an administrative assistant and provides administrative support to the Office of the Chief Health and Medical Officer. Provides day-to-day administrative support for the office. Serves as primary contact on scheduling and travel for the office. Incumbent will perform other duties and assignments as required.

Essential Duties and Responsibilities

  • Plans and coordinates travel for OCHMO, including creation of travel authorizations in the agency travel system, making reservations, and then voucher creation and reconciliation.

  • Recommends needed changes to enhance support services and initiates actions designed to improve administrative procedures

  • Provides technical assistance and guidance to staff in the areas of space planning and facilities, printing and graphics, travel, conference scheduling, security services, mail services, payroll, parking, Agency property and office supplies.

  • Provides configuration control, management, and minutes of the monthly OCHMO board

  • Direct secretarial/administrative support for the Officer in Charge, ie phone and calendar management, document creation and editing, correspondence management

  • Primarily responsible for ensuring our office complies with all records management requirements

  • Other duties as assigned

Knowledge, Skills, and Abilities

Education/Experience

Required:

High school diploma or equivalent with 8 years of related experience

Desired:

  • Prior administrative experience

  • Background in Science or medical administration

  • Prior NASA experience

Skills/Training

Required:

  • Proficient in Microsoft Office (Word, Excel, and Power Point)

  • Budgeting and expense tracking experience

  • Excellent written and verbal communication skills

  • Ability to communicate effectively with all levels of personnel

Desired:

  • NASA administrative process

External contacts include consultants, various medical institutions/organizations, vendors, legal firms, insurance and financial institutions, etc.<br />  <br /> <strong><u>PRINCIPAL ACCOUNTABILITIES:</u></strong><br />  <br /> Supports and/or represents Associate Senior VP for Health Sciences in duties related to Graduate Medical Education.<br />  <br /> Provides input to refine GME standards, guidelines, and chairing/co-chairing meetings, upon request.<br />  <br /> Assesses divisional bottlenecks, establishing measuring tools for performance  outcomes and  providing solutions/scenarios for various business units within Graduate Medical Education (GME) .<br />  <br /> Assists and facilitates the strategy and implementation of contracts, affiliation agreements and other initiatives designed to promote the furtherance of GME initiatives and reputation.<br />  <br /> Serves as a liaison for the Residency Program Coordinators to ensure knowledge of and compliance with procedures and assignments in support of Graduate Medical Education.<br />  <br /> Keeps current with Accreditation Council for Graduate Medical Education (ACGME) requirements and implement policies/procedures to ensure institutional compliance.<br />  <br /> Assists with maintaining protocols related to ACGME and HUH Guidelines for resident activity.<br />  <br /> Assists with the development of GME policies, procedures, educational curriculum and orientation for Residency Program Coordinator(s).<br />  <br /> Consult s/cooperates with the GME Director to prepare and publish outcomes of innovative educational activities.<br /> <br /> Consults with the GME Director to create, distribute, compile and maintain documents related to internal reviews of the accredited and non-accredited programs under the Accreditation Council for<br /> <br /> Graduate Medical Education, as well as the Institutional Review.<br />  <br /> Schedules, compiles and maintains documents for resident grievances. Maintains the GME website and GME Issue tracker database.<br /> <br /> Makes recommendations that facilitate continuous improvement in operating efficiency of GME and its programs. Assists· with creation and maintenance of the Department's Policy and Procedure manual.<br /> <br /> Promotes adherence to the Health Sciences Compliance Program, the Howard University Code of Ethics and the Health Sciences Standards of Conduct.<br />  <br /> Attends annual and periodic mandatory Compliance Program training including the Health Insurance Portability and Accountability Act <strong>(HIPAA) </strong>Privacy training.<br />  <br /> Participates in activities that promote adherence to federal healthcare program requirements. Actively participates in Health Sciences Compliance Program activities.<br /> <br /> Adheres to the requirements of the HIPAA Privacy Policies and Procedures.
