Administrative Coordinator (NASA Headquarters)
This position is located in the Office of the Chief Health and Medical Officer (OCHMO), NASA Headquarters. Incumbent serves as an administrative assistant and provides administrative support to the Office of the Chief Health and Medical Officer. Provides day-to-day administrative support for the office. Serves as primary contact on scheduling and travel for the office. Incumbent will perform other duties and assignments as required.
Essential Duties and Responsibilities
Plans and coordinates travel for OCHMO, including creation of travel authorizations in the agency travel system, making reservations, and then voucher creation and reconciliation.
Recommends needed changes to enhance support services and initiates actions designed to improve administrative procedures
Provides technical assistance and guidance to staff in the areas of space planning and facilities, printing and graphics, travel, conference scheduling, security services, mail services, payroll, parking, Agency property and office supplies.
Provides configuration control, management, and minutes of the monthly OCHMO board
Direct secretarial/administrative support for the Officer in Charge, ie phone and calendar management, document creation and editing, correspondence management
Primarily responsible for ensuring our office complies with all records management requirements
Other duties as assigned
Knowledge, Skills, and Abilities
High school diploma or equivalent with 8 years of related experience
Prior administrative experience
Background in Science or medical administration
Prior NASA experience
Proficient in Microsoft Office (Word, Excel, and Power Point)
Budgeting and expense tracking experience
Excellent written and verbal communication skills
Ability to communicate effectively with all levels of personnel
