Administrative Coordinator - Marketing

Job Description:

General Responsibilities (70%):

  • Assist in the monitoring of marketing projects and timelines. Assist in project development, implementation and support.

  • Manage marketing budget as requested, track expenses and request adjustments as indicated.

  • Track Marketing expenses utilizing tools provides and communicate expenses quarterly.

  • Utilize Fusion/Allocadia for Marketing expenses-generate requisitions, purchase orders and receive order when indicated and transmit to A/P for payment.

  • Provide support to Marketing Managers to properly track business performance, including sales volume, product mix, promotion impact and market share and tracking proof trials.

  • Manage inventory of marketing materials on-site and both print and promo E-Stores.

  • Assist in executing Trade Shows/VIPs as needed for Marketing Managers and other support functions including registration, payments, booth displays and sales materials.

  • Assist in creating or coordinating sales materials for marketing including sell sheets, brochures and/or coupons or promotional offerings. (in conjunction with IMC)

Additional Areas of Responsibilities (30%):

  • Takes initiative to run business (Dairy, Swine, Beef) efficiently in all administrative activities.

  • Prepares and communicates staff itineraries and activities calendar.

  • Coordinates arrangements for staff meetings both on-site and off-site and schedule webinars.

  • Coordinates new employee set up including internal system set-ups and equipment needs.

  • Performs office administrative duties to include assisting in creating communications, presentations and graphs for overall livestock business

  • Help communicate with Sales team

Requirements:

  • High school degree or GED.

  • Administrative or clerical experience preferred.

  • General understanding of accounting procedures and ability to manage pricing effectively.

  • Experience with Microsoft Office programs, particularly PowerPoint, Excel and Word.

  • Strong organizational skills.

  • Problem solving skills.

  • Ability to combine multiple sources of information to make daily business decisions.

  • Ability to handle multiple tasks concurrently and to set priorities.

  • Effective oral and written communication.

About the role: Boston Scientific is seeking a Marketing Communications Specialist who brings a project management mindset to support execution of global integrated communication strategies for product, portfolio and disease campaigns within the Rhythm Management business of Boston Scientific. Who You Are: This individual will have well-developed skills in project management, communications, and follow-up and exude a take-charge spirit to proactively engage with the broader Marketing and Integrated Communications team. The Opportunity: This individual will support a cross-functional team to execute communication and campaign strategies across multiple measurable channels, including digital, events, sales enablement, PR and traditional mediums, such as collateral and advertising. S/he will employ effective organized project management to communicate proactively to all stakeholders, to manage expectations, timelines, and logistics, and to deliver campaigns and content on time. S/he will collaborate closely with Marketing, Brand, Digital, Operations, Events, Internal Communications and external vendor partners to effectively and efficiently manage the legal and regulatory review and approval process. S/he will comply with Boston Scientific standard operation procedures, processes and related systems, as well as direct digital warehousing, printing and storage of developed assets. This person must be extremely detail-oriented, comfortable juggling multiple changing priorities, committed to managing multiple stakeholders, and meeting deadlines in a fast-paced, dynamic environment. Experience working with Regulatory and Legal in a highly regulated environment and familiarity with medical device, healthcare industries is preferred. Your responsibilities include: * Positioning: Generates global product positioning, messaging and core creative development working with marketing ensuring cross-functional collaboration * Brand: Ensure consistency in the Boston Scientific brand within specified channels * Relationship Building/Collaboration: Build relationships and collaborates closely with Marketing, Regulatory, Medical, Clinical and Legal colleagues * Communication: Communicate proactively to all stakeholders, managing expectations, timelines and logistics * Campaign Execution/Project Management: Proactively lead the project management of global integrated communication strategies for product, portfolio, disease and patient campaigns within the Rhythm Management business of Boston Scientific; Including, but not limited to: * The creation of creative brief, creative team downloads, use of appropriate channels, messages and communication tactics * Supporting cross-functional teams (including Marketing, Brand, Digital, Operations, Events and Internal Communications colleagues, as well as with external vendor partners) to gain approval and deploy global campaign content and tactics on time * Maintaining projects within allocated budget, proposing cost-saving measures where appropriate; Produces communications materials and maintains project records utilizing established department procedure and tools; Make recommendations on how to continually improve processes and supporting systems * Uploading final files and consult to organize the creative asset management system on Box * Providing daily direction for marketing collateral warehousing and fulfillment per Quality System requirements and manage the literature lifecycle from origin through obsolescence * Developing project/tactic metrics and reports on outcomes for continuous improvement * Industry Trends: Align with communications industry trends.
