Summary:

Provides administrative support to the VP Payer Relations & Contracting, two department Directors, and the Executive Director PHO. Assists in network administrative duties for the PHO Executive Director as needed.

Responsibilities:

1.Provides administrative and secretarial support to Managed Care Departmental Staff including but not limited to drafting and preparing correspondence and disseminating information through written and verbal communication, problem resolution and day to day handling of matters as they present themselves.

2.Responsible for providing patients with pricing estimates using various tools developed and maintained by the department and contract reimbursement rate tables. Researches patients' request, documents findings, and provides response using judgement and sensitivity to the patients' situation.

3.Coordinates events to include educational seminars and workshops, board meetings, annual membership meetings, vendor programs. Attends and takes meeting minutes as requested.

4.Handles mass mailings (e.g. newsletters, contract notices and annual dues) to members.

5.Coordinates, maintains and assists in the development of departmental programs to ensure follow through of organization policies and procedures.

6.Prepares spreadsheets, presentations and reports for department management.

7.Arranges and coordinates meetings for the department including staff meetings, in-house and external service/educational training. Takes minutes of the meeting.

8.Handles facility credentialing for Danbury and New Milford Hospitals. Independently completes detailed application forms, gathers recent licensing, accreditation information, and obtains all required signatures.

9.Handles expense report filing, and departmental budget tracking for the department.



  1. Other related duties include composing correspondence, maintaining calendars and schedules, and coordinates special projects.

  2. Performs all assigned responsibilities to achieve the organization's mission and goals with regards to customer service, patient satisfaction, teamwork, safety and development.

  3. Fulfills all compliance responsibilities related to the position.

  4. Performs other duties as assigned.

Summary: Reporting to the Chief Audit, Compliance & Privacy Officer (CACPO), and the Administrative Director Revenue Compliance and Clinical Audit, the Executive Administrative Assistant will also support the Director of Internal Audit, Compliance & Privicy and three other Managers on the daily operations of their departments. Provides support in all the administrative and clerical duties to promote efficient and effective department operations. Responsibilities: 1. Provides administrative support to the Corporate Compliance Executive, Directors and Managers on the daily operations of their departments. Provides support in all administrative and clerical duties to promote efficient and effective department operations. Supports Chief Audit, Compliance & Privacy Officer (CACPO), Directors and Managers with organizing and executing Compliance, Audit, and Privacy processes, functions and programs as required. Coordinates and assists management and department by disseminating information through written and verbal communication to coordinate department work, resolve appropriate problems and ensure quality and efficiency in processes. 2. Schedules, arranges and coordinates Compliance, Audit and team related meetings that include WCHN Senior Leadership, management and multidisciplinary department teams across the Network, including Board level meetings. Assists with preparation of meeting materials such as agendas and meeting packets, including confidential Compliance and Audit information as required; manages the Board portal for Executive Compliance and Audit meetings; records, transcribes and maintains meeting minutes. Performs administrative duties at meetings as assigned. 3. Performs data entry into Cobius audit software ensuring accuracy and timeliness of data entry under appropriate WCHN entity and audit. Prepares patient medical records for WCHN internal or external audits; scanning, copying, saving confidential files to encrypted CDs/DVDs, and/or uploading records to audit software and sending via secure electronic process. Follows up on specified government audit activity such as RAC and CERT; assists Regulatory Compliance Specialist with coordinating, logging, tracking, and validating the submission of requested medical records and appeals are completed in accordance with all designated timeframes. Assists with administering external 3rd party payer audit requests following Revenue Compliance & Clinical Audit processes and policy. Extracts data, developing reports for all Compliance & Audit data within Cobius including regulatory Compliance & Privacy. Performs Kronos timekeeping functions as directed by Managers. Performs organizational responsibilities to achieve the organization's missions and goals with regards to customer service, patient satisfaction, teamwork, safety and development. 8.
