Position Description

Advertised Job Summary

To serve as Administrative Coordinator for the department chair, faculty, graduate students and undergraduate students in the Department of Drug Discovery and Biomedical Sciences. To prepare and coordinate all aspects graduate students paperwork with the Director of Graduate Studies.

Minimum Qualifications

Bachelor's degree and 1 years related experience in business management, public administration, or administrative services; or equivalency.

Preferred Qualifications

Prefer knowledge of Graduate school policies and procedures and USC policies and procedures.

Prefer proficiency in PeopleSoft and other systems currently in use at USC.

Knowledge/Skills/Abilities

Knowledge of USC policies and procedures and Graduate School policies and procedures. Experience in PeopleSoft HCM systems and other USC systems. Proficiency in computer applications, particularly Microsoft Office programs. Familiarity and experience with the grant submission system for awards through the National Institutes of Health (NIH). Ability to manage a variety of administrative duties.

Job Duty

Provide administrative coordinative support for the DDBS chair and faculty using Microsoft Office and university-based software such as PeopleSoft. Provide administrative assistance such as correspondence, scheduling of meetings, and scheduling itinerary of guests. Other duties will include, but are not limited to: completing reimbursement forms; ordering office supplies and maintaining office equipment, i.e., service calls, etc. Maintain in good standing a VISA purchasing card account for department business and a travel card account for department travel. Serve as a receptionist for the department office. Assist with the collection of information for and assembly of the annual department report. Assist in the hosting of DDBS seminars with refreshments prior to the seminars

Coordinate travel and travel reimbursements for faculty, prospective faculty, seminar speakers, graduate students, and other department guests. Coordinate relocation reimbursements for newly hired faculty. Maintain in good standing a VISA travel card account for department travel.

Function as the coordinating liaison between the College of Pharmacy, graduate students, and the relevant USC offices, such as the Graduate School administrative office, the Bursar's Office, the International Office for Students, and the Office of the Registrar. Answer graduate program inquiries from potential applicants. Assist with the graduate admissions process (Currently the ADMIT system), including the organization of applicant files for evaluation by the graduate director and the graduate admissions committee. Coordinate background checks for students for access to the building. Assist in monitoring graduate student progress by keeping accurate records of student progression milestones and providing information on student progression as needed to the graduate school. Prepare tuition, insurance, stipend and fee paperwork, as well as online processes for graduate students. Coordinate with faculty, the DDBS chair, and the Dean's Office to determine funding accounts to be used and submit this information in an accurate and timely manner. Coordinate the logistics of the annual graduate student retreat. Assist with graduate student handbook updates annually. Coordinate all the above activities with the Director of Graduate Studies. Prepare paperwork and online processes for hiring undergraduate students who work with DDBS faculty.
