As an Administrative Coordinator I, you will support the operations of our facilities, and manage day-to-day administrative tasks while providing top-notch customer service to internal and external parties. You will coordinate proactive administrative support for multiple leaders and employees. In addition to providing excellent customer service, you'll be responsible for maintaining office and breakroom supplies, assisting with conference room set-up, supporting internal and customer meetings, and fulfill business meal support requests. You'll assist with helping employees prepare and submit expense reports and you'll be responsible for creating and submitting indirect purchase requisitions when needed. You will also be responsible for timely execution of all clerical duties including copying, scanning, and data entry. You'll support our administrative team and assist with keeping us organized, on track, and operating efficiently, while also providing support to the operations facilities as needed. This role requires excellent organizational skills, attention to detail, strong communication skills, and the ability to multitask and work under pressure at times. You will also be required to perform tasks that contribute to the completion of various projects and goals for Operations and the MST Administrative team.

Responsibilities:

  • Coordinating and scheduling meetings and appointments including helping with booking of conference rooms

  • Assisting employees & leaders with coordinating travel arrangements and expense reports as needed

  • Creating & submitting indirect purchase requests as needed

  • Managing office and breakroom supplies and inventory

  • Assisting with coordinating office events and activities

  • Supporting internal and customer meetings including working with vendors for meal deliveries

  • Helping cover the front desk at the corporate office when required

  • Ensuring compliance and company policies and procedures

  • Handling other administrative tasks as needed

Must-haves:

  • High School Diploma or GED Equivalent and 0 - 1 year of administrative experience.

  • Proficient knowledge of Microsoft Office tools, including Word, Excel and PowerPoint is required.

  • Must have basic knowledge of administrative practices, to include clerical duties such as data entry, filing and utilizing office equipment.

  • Must have experience with maintaining a secured facility, or working in a military or Department of Defense environment.

  • Professional demeanor and excellent communications skills required, including the ability to manage a multi-line phone system.

  • Must be extremely dynamic, demonstrate initiative, and have the ability to multi-task in a very fast paced-environment.

  • Must be able to solve routine problems of limited scope and complexity.

  • The ability to obtain and maintain a Security Clearance may be required.

Preferred:

  • Experience with Microsoft collaboration tools such as Teams and SharePoint

  • Experience with Security and Safety protocols

  • Experience with Concur Travel and Expense platform or other travel management system
