MISSION:

It is the mission of the South Carolina Department of Juvenile Justice (DJJ) to impact and transform young lives, strengthen families, and support safer communities through targeted prevention and rehabilitation.

JOB PURPOSE:

Under general supervision of the facility nurse manager performs the logistical and administration tasks related to the operation of the medical clinic. Collaborates with a multi-disciplinary to ensure the effective delivery of health care for youth housed at the SC Department of Juvenile Justice.

JOB RESPONSIBILITIES:

Manages all health information and medical correspondences for the youth assigned to the facility.

Serves as the liaison with local medical facilities to ensure needed medical information is obtained to provide adequate medical care for our youth.

Works directly with the youth, SCDJJ staff, parents and external medical providers regarding medical consent to ensure essential medical needs are met.

Initiates and maintains electronic medical records for all youth assigned to the facility.

Coordinates all internal and external medical appointments including medical transportation for the youth utilizing a master calendar.

Schedules appointments for youth per SCDJJ policies, procedures and JJMS and makes follow-up appointments for youth in a timely manner.

Monitors quality improvement processes through medical chart audits, PbS audits, etc.

Generates required monthly reports detailing medical trends at SCDJJ (i.e.. physical exam compliance, medication compliance among the youth, ER visits, missed appointments, supply utilization, medication errors, etc.).

Maintains and organizes documentation related to licensure requirements for the dispensary.

In collaboration with the facility nurse manager serves as the Health Services point contact for internal and external inspections.

Coordinates the ordering and maintenance of all medical, office and janitorial supplies.

Ensures supplies are routinely ordered and adequately stocked at all times.

Responsible for maintaining an audit of medical equipment, submits works orders as needed for maintenance and repairs.

Arranges for the shipment of items and supplies (i.e., medications, medical equipment) as required for youth placement or discharge.

Coordinates the ordering and maintenance of all medical, office and janitorial supplies.

Ensures supplies are routinely ordered and adequately stocked at all times.

Responsible for maintaining an audit of medical equipment, submits works orders as needed for maintenance and repairs.

Arranges for the shipment of items and supplies (i.e., medications, medical equipment) as required for youth placement or discharge.

Assists the Health Services Program Manager with directing activities related to medical records.

Assists with the processing of medical records requests and ensures the health protected information is protected in accordance with HIPAA and agency policies and procedures.

Coordinates the development and dissemination of the Health Services monthly report.

Serves as the Health Services Liaison collaborating with a multi-disciplinary team to ensure the completion of court-ordered evaluations.

Attends required staff/SCDJJ meetings and performs other duties as assigned to support the agency and its mission.

Minimum and Additional Requirements

STATE MINIMUM REQUIREMENTS:

A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.

ADDITIONAL REQUIREMENTS:

Requires extensive knowledge of medical office management principles and procedures, knowledge of electronic medical records management, HIPAA, medical billing practices and general medical consent procedures.

Ability to collect and assemble information in a clear, concise manner.

Understand, execute, and convey complicated oral and written instructions, communicate effectively orally and in writing.

Demonstrated proficiency with Microsoft Office applications.

Ability to establish and maintain good working relationships with staff members and the general public.

Experience with Electronic Health Records is preferred.

Functions under the supervision of the facility Nurse Manager; annually scheduled performance review.

Follows agency, department, state and federal guidelines, policies and procedures.

Primary work location is Columbia, SC at the Broad River Road Complex (BRRC).

Must have and maintain a valid South Carolina driver's license.

This position involves direct contact with detained juveniles in a secured facility.

Requires occasional lifting of objects up to 20 pounds.

Occasional travel within the state may be required (less than 1 day per month).

This position performs job duties relating to the custody, control, transportation, or recapture of youth within the jurisdiction of the Department of Juvenile Justice and the employee may have direct and indirect contact with youth within the jurisdiction of the Department of Juvenile Justice. Training applicable to these duties will be provided.

Preferred Qualifications

PREFERRED AGENCY REQUIREMENTS:

A high school diploma and a minimum of two years relevant work experience that is directly related to the area of employment. An associate degree is preferred and may be substituted for the related work experience.
