TheOffice of the Dean of Studentsprovides services that assist all students in being engaged and successfulmembers of the Georgia State University community. Our guiding principles are

The office also upholdspolicies and procedures established within the Student Code of Conduct,oversees the student activity fee process, Emergency Withdrawal process, theadmissions background review and crisis mitigation. Additionally, the Dean ofStudents office provides co-curricular experiences that support the growth anddevelopment of students on campus.

TheOffice of the Dean of Students is looking to recruit an AdministrativeCoordinator for the Clarkston Campus. The Administrative Coordinator greetsvisitors and guests, answers multi-line telephone system as well as monitorsand maintains all administrative work of a front-line office. The office is seeking a dedicated and enthusiastic candidate with excellent communication, multitasking skills, a positiveattitude and a strong work ethic.

Dutiesassociated with this position include:

  • Coordinatesadministrative functional processes within a within department.

  • Assiststhe Assistant Dean of Students in implementing policies and procedures; monitors compliance with policiesand procedures.

  • Servesas a contact person for the front office to callers, visitors, students,faculty and staff.

  • Providesgeneral office and policy information as requested by telephone, in person orin writing.

  • Answersroutine questions and provides referrals to campus departments.

  • Maintainsdepartmental budgets; approves and monitors expenditures and coordinates thepayment of invoices.

  • Receives,sorts, and distributes all incoming mail and packages; Prepares outgoing mail.

  • AssistsAssistant Dean of Students with special projects and reports.

  • Draftscorrespondence, forms, and weekly reports.

  • Performstyping duties as assigned.

  • Performsother administrative functions (i.e. supply inventory, travel reservations andarrangement, room reservation, schedules appointments, etc.) and serves as abackup to colleagues, as needed.

  • Maintainsdepartmental records, files and databases.

  • Assistswith the Emergency Withdrawal application intake including checking applicationpackets for accuracy, duplication and stocking materials.

  • Provideindirect supervision to Work-study Students.

  • Opensand closes office.

  • Performsother related duties as assigned.

Bachelor's degree and one year of administrative experience; or high school diploma or GED and five years of administrative experience; or a combination of education and related experience.

The position is responsible for advancing the One GPTC vision, mission, purpose and values across multiple campuses and provides leadership in the ongoing development and analysis of processes and procedures as needed to support positive and effective change; responsible for planning, developing, organizing, managing and evaluating all services; initiates plans and actions to assess and maintain programs and services; organizes and facilities group discussions within the financial aid department to generate ideas, goal setting, and decision-making functions to improve functions; meets regularly with staff and faculty to determine issues and discuss needs within the assigned department. ESSENTIAL JOB FUNCTIONS: Manage, develop and oversees the daily operations of Financial Aid. Provide leadership and supervision of professional, clerical, student workers and part-time staff that assure a student centered approach to financial aid administration. Evaluate existing Financial Aid Office policies, making recommendations for changes to improve office efficiency and keep up with current technology. Oversee the completion and submission of federal, state, and institutional reports for financial aid, exemptions, and VA benefits. Develop and implement procedures for financial aid audits, and other external agencies. Respond to questions regarding policies and procedures. Manage budget and expenditures for the unit. Develop and maintain internal control structures for financial aid Monitor progress and productivity of assigned staff. Review operations for compliance with applicable regulations and standards. Participate in strategic planning. Develop priorities and goals in support of enrollment management and the academic mission of the college. Supervise and/or perform all areas of VA. Perform research and analysis for special projects. Coordinate departmental activities with federal, state and local agencies. Serve on various boards, committees, etc. Oversee the communication with the campus community and external audiences regarding financial aid programs and services. Assist with the design and execution of special events, projects and activities. Coordinate the financial assistance program available to enrolled students, including scholarships, grants, work study programs, and student loans. (Performed by all incumbents) Provide information to technical college prospective and enrolled students concerning state and federal financial assistance and technical college policy/procedures. (Performed by all incumbents) Maintain current knowledge of TCSG operations and policies, federal and state student financial assistance programs and laws governing such and technical college procedures. (Performed by all incumbents) Coordinate the preparation and maintenance of all active and inactive financial aid program files and other related student financial aid records. (Performed by all incumbents.) Prepare and analyzes operational statistics, reports, or other data. (Performed by all incumbents) Responsible for the accountability of all financial aid awards. (Performed by all incumbents) Perform recruitment activities and provides information to feeder schools. (Performed by some incumbents) Provide guidance and general advisement to students regarding vocational opportunities, financial aid, program choice/change educational requisites, school policy/procedure, state policy, etc., throughout the student's educational tenure.
