  • Managing multiple project types for demanding professionals.

  • Assisting with purchase order and payment processing

  • Creating high-level PowerPoint decks and templates

  • Assisting in travel booking and expense report processing

  • Completion of both long and short term projects at a high level of quality without reliance on a quality control process and within deadline.

  • Responding to customer e-mail with professional and concise communication regarding project status.

  • Monitoring e-mail inboxes for incoming projects and setting up projects using a workflow management tool. May also assist in coordinating, prioritizing and monitoring incoming projects.

  • Managing and prioritizing projects to meet deadlines.

  • Responsible for maintaining and supporting ISO standards through creation and updating of documentation and compliance with all security standards.

  • Support legal matter management applications, including the following services:

  • Legal vendor creation and setup

  • Legal matter and member group management

  • Legal matter creation

  • Legal rate (aka timekeeper) review and approval

  • Legal invoice routing and integration services

JOB SUMMARY The Administrative Assistant is a key person in the organizational functions of Early Intervention. This position directs the physical operations of the office and plays an important role in communication and coordination of services as well as supporting AC staff. The Administrative Assistant performs secretarial functions of a responsible and non-standardized nature requiring a substantial degree of knowledge, decision-making skills and independent judgment to assist the Operations Manager, Early Interventionists and other personnel as assigned. QUALIFICATIONS (minimum requirements) Education and/or years' experience required: * Associate Degree in Administrative Assistant or related degree; two to three years administrative experience required. Preferred/Required Skills and Abilities: * Ability to understand and operate a computer, printer, copier, typewriter, calculator, fax machine and phone. * Required one-year experience working with Windows, Microsoft Office programs, Intranet and Internet. Must have the ability to access, manipulate, organize and relay information in meaningful ways using email, databases, etc. * Must have good keyboarding skills and be willing to learn and follow AC and office policies and procedures, maintain accurate records, follow verbal and written instructions and organize work with various interruptions. * Must be able to demonstrate effective interpersonal skills by being tactful, courteous and diplomatic with both internal and external contacts. This person must be able to adapt to rapid change and intervene promptly in crisis/emergency situations.
