Job Description:

Role Overview

Provides administrative support directly to Vice President level executives, exercising confidentiality, tact and diplomacy. Performs diverse and advanced administrative duties requiring thorough experience, skill, and knowledge of organization policies and practices. Demonstrates thoughtfulness and responsiveness in managing schedules and priorities to meet the requirements of the individuals they support. Resolves non-routine inquiries and act as a liaison to both internal and external customers for more complex administrative support or special projects as requested. Uses business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries. Receives, screens and directs incoming calls, visitors, mail and email. Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses. Provide training to less experienced administrative staff or other associates as necessary.

Responsibilities

  • Possess comprehensive software applications knowledge and are highly skilled with a variety of tools and/or databases to create, analyze, and finalize documentation, reports, spreadsheets, and presentations.

  • Assist with Town Halls and Executive Leadership Meetings. Be responsible for communications for meetings.

  • Perform work related to the department budget and may suggest ways to reduce expenses. Monitoring travel and expenses for the whole department.

  • Multi-tasking and providing support to multiple executives by applying advanced skills and adapting procedures, processes, and techniques to the completion of assignments.

  • Coordinate travel related activities and may be responsible for the organization of special executive initiated and/or corporate events.

  • Cross train with others to ensure consistent routines during times of absence and may train others on operational and functional aspects within their scope of responsibility.

Qualifications

  • High School degree and at least 2 years of work-related experience

  • 4+ years office administration experience

  • Ability to effectively multi-task

  • Strong computer skills with proficiency with MS Office suite (Outlook, Word, Excel, PowerPoint)

  • Previous experience supporting C-level executives

  • Excellent written and verbal communication skills

The CAPP Unit works closely with case managers in Children's Services and Children's Mental Health. The individual hired is expected to continue a culture of continuous improvement. Location and hours: This position is located at the Government Center - 300 S 6th St, Minneapolis, MN 55487. After passing probation, the location is negotiable. Work hours are flexible, primarily days, Monday through Friday, 8 a.m. - 4.30 p.m. About the position type: You must be a current regular or probationary employee of Human Services and Public Health to be eligible for this position. In this position, you will: * Supervise staff * Oversee on-going case compliance with state and federal requirements. * Work with program managers in Children's Services to coordinate job functions for financial case aides * Work with representatives from the Department of Community Corrections to monitor services provided in the Social Service Information System * Work with the Child Support area to enforce parental fee requirements for children in placement Need to have: * One of the following: * Bachelors degree or higher in public administration, business administration, or other field appropriate to the position and two years or more of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position. * Six or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position. Nice to have: * Two years or more of experience using the State's Social Service Information System. * Two years or more of experience with Title IV-E and medical assistance requirements. * Supervisory experience.
