About the Position: The position is located in the Pediatric Specialty Clinic, Located in the America building (19) on the 4th floor. Clinic hours are Monday through Friday from 0730-1600.

Responsibilities

  • Confirm correspondence, reports, travel orders, etc., are processed correctly and expeditiously.

  • Review incoming and outgoing correspondence, oversee preparation of response to actions not requiring attention of the Chief and/or Health System Specialist.

  • Develop and prepare reporting formats, i.e., pie charts, bar charts, and similar items from data for presentation.

  • Coordinate conferences and meetings by arranging space, time, equipment, and supplies; assemble background and conference materials.

  • Establish a system to record commitments made during meetings.

  • This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Tier 3 security investigation or access for the duration of employment. A background investigation and credit check are required.

  • This position requires the incumbent to have tuberculosis testing.

In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Specialized Experience: One year of specialized experience which includes scheduling conferences and/or meetings for leadership; managing and maintaining electronic calendars for leadership; utilizing automated system such as the Defense Travel System (DTS), Automated Time and Attendance Production System (ATAAPS), Composite Health Care System (CHCS), and Armed Forces Health Longitudinal Technology Application (AHLTA) to input or gather data. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07).

Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.

ADMINISTRATIVE ASSISTANT III RESPONSIBILITIES: * Maintain personnel records to ensure compliance with command annual training requirements. * Monitor readiness status of assigned military personnel and prepare reports as required. * Prepare various reports and other documents, gathering necessary information in accordance with established Navy guidelines… * Receive incoming correspondence, reviewing and screening materials prior to distribution, and establishing controls for obtaining appropriate necessary signatures for all departmental and Cancer Center mail. * Provide a variety of typing to include, but not limited to, letters to patients and related material, labels for medical records, SOPs, WRNMMC regulations, leave requests, civilian evaluations and meeting minutes. Proofread and spell check all documents (drafts and final forms) prior to submitting them for review. * Maintain departmental files and records, including creating and maintaining correspondence action logs and all required and properly signed documents. * Schedule and confirm appointments based on availability. * Create, manipulate and print a wide range of documents in final form handwritten or computer generated drafts and using a wide range of advanced word processing features. * Obtain and distribute mail at least once daily. * Use established suspense tracking systems to log in, issue and track suspense's. * Coordinator plans for all internal meetings including, but not limited to, creating schedule, preparing agenda, and recording and transcribing minutes. Must be identified as contractor and may not represent or commit the Government. * Prepare contracts and purchase orders for submission to accounting office. All contracts and purchase orders prepared must be approved by the Government prior to submissions.
