DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
The City of Houston's Department of Housing and Community Development (HCDD) works to create safe, stable, and complete communities by funding projects related to affordable homes, public facilities, economic development, public services and infrastructure. Partnering with non-profit, governmental, and local entities, HCDD seeks to strengthen Houston's neighborhoods and provide true housing choice .
To achieve this vision, HCDD is seeking an Administrative Coordinator to join its team. In this position, you will be responsible for conducting project assessments, auditing, analyzing, and coordinating professional administrative functions associated with organizing the development and implementation of administrative activities for the assigned department/divisions.
Key Responsibilities
Reviews and analyzes files for borrowers and recipients of federal and local financing with the Public Facilities Division for Completeness and compliance with the following:
Due diligence standards any checklist items required by HCDD and HUD.
Order and completeness compared to the HCDD standardized filing system.
Adhere to federal and state regulations and the department's program policies and procedures.
Prepares written summary of loan history, analysis of request, and submits written recommendations. Engage the Legal Department for opinions and drafting legal documents as necessary.
Identifies at-risk and/or non-compliant borrowers and recipients. Provides general technical assistance.
Conduct internal audits and file reviews within shared drives and OnBase.
Coordinate with Relationship Managers and other departmental personnel to ensure files are complete and supplement any missing data.
Provide regular reports to the reporting manager regarding the completeness and compliance of reviewed files.
Follows all HUD compliance and regulatory requirements to ensure the department has no findings.
Initiates end of affordability activities. Engage the Legal Department to prepare the Release of Lien and/or Termination of LURA and/or Termination of Restrictive Covenants.
Ensure actions, transactions, and records are properly recorded and stored in appropriate technical systems and records management files/systems.
Performs other duties as assigned.

This is a grant funded position subject to cancellation when funds are depleted and/or contract period ends.
WORKING CONDITIONS
This position is physically comfortable. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.
MINIMUM EDUCATIONAL REQUIREMENTS
Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.
MINIMUM EXPERIENCE REQUIREMENTS
Five years of administrative experience is required.

Valid driver's license.
Prior work experience managing multiple projects, priorities, completing deadlines, and adapting to changing production requirements and schedules.
Demonstrated analytical abilities with experience in collecting, analyzing, and presenting data to drive decisions.
Prior work experience using Microsoft Office, OnBase, and SharePoint
Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
