WE ARE LOOKING FOR AN ADMINISTRATIVE COORDINATOR

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Coordinate/schedule appointments, travel plans, and internal/external meetings (i.e., audits, inspections, training, recognitions, and safety) Maintain Outlook calendars, coordinate office activities, and ensure professional work environment.

  • Provide reliable and efficient screening and routing of internal and external communications and inquiries (i.e., visitors, calls, mail, and deliveries).

  • Compose documents, correspondence, presentations and reports as requested. Proofread and edit documents of others for accuracy and clarity.

  • Answer questions and respond to management requests for resources, referrals, and documentation.

  • Stay up to date on organizational structure and systems, resolve issues, and recommend ideas to increase efficiency and cost-effectiveness.

  • Maintain professional demeanour while representing the Company. Provide vital resources (i.e., phone lists, office supplies, forms, business cards, planners) and ensure proper working order of office equipment.

  • Prepare, process, and supervise assigned payments, invoices, budgets, and expenses.

  • As requested, represent management in meetings, provide minutes and feedback to keep management abreast of proceedings.

  • Act in all vital capacities to prepare for and participate in audits/inspections (i.e. FDA).

  • Administer recognition programs and coordinate between suppliers and supervisors.

  • Coordinate training scheduling and provide training record administration.

  • Act as resource to support managers/supervisors with employee administrative needs (i.e., orientations, training, job descriptions, attendance, filing, and reporting.).

  • Provide Shift Production and Inventory Reconciliation Support (MES/SAP), daily.

  • Provide event planning/coordinating as vital.

  • Be aware of the Company environmental, health & safety policies and comply with the objectives as it relates to the role.

  • Follow Company Safety Rules

  • Know the potential health & safety risks and environmental impacts of work activities and understand role in mitigating these impacts.

  • Understand responsibilities for compliance with regulatory requirements and Company standards.

  • Complete EHS-required training and follow operational procedures.

  • Immediately report all injuries and illnesses

  • Participate in EHS programs as required by assigned site/role (e.g., PULSAR safety observation program

CAN THIS BE YOUR FUTURE ROLE?

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • High School Diploma or equivalent

  • Two to three years relevant administrative experience SAP/MES experience

  • Strong digital literacy (including Microsoft Office Professional suite)

  • High degree of integrity and confidentiality

  • Excellent organizational and planning skills

  • Ability to handle multiple priorities and projects.

  • Excellent oral and written communication skills

  • Excellent interpersonal skills with high degree of tact and diplomacy

BENEFICIAL

  • HRIS system experience highly desirable.

  • Prior experience as executive level assistant/coordinator.

  • Ability to anticipate issues, make recommendations, and implement improvements.

  • Company vehicle for eligible employees

  • Cell phone allowance for eligible employees
