Administrative Collections Specialist

job summary:

An industry leader and cornerstone for over 30 years in the materials handling business is looking for an Administrative Collections Specialist to become a key member in their team. This specialist be responsible for calling on past due accounts and answering invoicing questions while maintaining positive ongoing relations with our customers. It will also include a few Accounts Receivable responsibilities.

  • Mail and email all statements at the first of each month for selected customers, send all aging reports monthly to individual branch managers, and management team

  • M inimum of 25 calls per day targeting accounts that have a past due balance of 60 days or more

  • Assesses and recognizes causes for nonpayment, and informs appropriate personnel of problems for corrective action to be taken.

  • Prepares and organizes documentation necessary to collect payment.

  • Assist in calling on any new sales order that is over $15,000.00 and on all down payment billings

  • Monitors activity on all assigned accounts and initiates collection calls on past due items.

  • Ensures collections connections are using company designated practices and code of conduct for reviewing client requests and all related disputes with respect to the account.

  • Decreases critical liability hazards by stabilizing account receivables.

  • Filing as needed and required


  • At a minimum, a High School Diploma or equivalent is required.

  • AA and/or Business/Accounting courses are preferred.

  • Must have at least two years of prior administrative or accounting experience.

  • Microsoft Office Suite as well as 10-key is required.

  • Can-do attitude as well as a commanding phone presence.The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.This position requires repetitive use of fingers, wrists and hands for typing, word processing and 10-key. Must be able to bend, twist, sit and reach using lets, back, neck and arms. Must be able to verbally speak and hear with or without aid to utilize heavy phones with customers, vendors, and co-workers.
