The Radiological Emergency Planning group is seeking a highly motivated individual to provide clerical and administrative support for the team that protects the health and safety of the sailors, our employees, the public and the environment through emergency preparedness activities.

The position provides administrative and clerical support, to include word processing, distribution of letters and other official documents, retention of historical records, filing, travel and expense tracking, supply administration, and database management. Other support includes the tracking and publishing of Radiological Emergency Response Organization (RERO) performance metrics, generating and processing commitments, and maintaining qualification and training records.

The selected individual is expected to coordinate efforts closely with the Radiological Services Department administrative team, which includes a staff assistant and a clerk, assisting in the completion of departmental administrative tasks.



  • The ability to interface with all levels of Electric Boat Shipyard and Submarine Base, New London (SUBASE) organizations

  • The ability to work as a member of a highly functioning team

  • Capable of supporting field and office work

  • Strong oral communication, interpersonal and organizational skills

  • Timely error-free word processing capability



  • A High School Degree or equivalent

  • 2-5 years of administrative experience

  • Ability to pass a typing test of at least 45WPM

  • Proficiency in use of MSOffice products

  • Excel

  • Outlook (including managing calendars and resources)

  • Word (including formatting of memorandums and letters in accordance with EB requirements (headers/footers, section breaks, attachments))

  • PowerPoint


  • Bachelors Degree

  • Familiarity with Lotus Notes

  • Familiar with Procedure Gateway

  • Familiarity with Staples ordering

  • Proficiency in Concur for travel bookings and expenses

  • Proficiency in Phantom FoxitPDF document editing and consolidation

  • SharePoint admin management

NSMRL conducts research and investigates the effects of medical, psychological, and performance issues associated with the health and performance of naval personnel in operational and non-operational settings. Primary Responsibilities The ideal candidate shall: * Coordinate travel arrangements/vouchers for personnel in the Defense Travel System (DTS) as an appointed Non DTS Entry Agent (NDEA) as directed. * Complete photocopying, compile printouts (briefing packages, business cards, etc.), scan documents, and coordinate department mail. * Provide coordination and organization support for department meetings. * Record meeting minutes as required. * Draft Weekly Activity Reports (WAR). * Assist with scheduling, coordinating, and planning meetings and conferences for on-site, off-site, and telecommunication. * Provide coordination and recording support for all documents in the Scientific Review Board (SRB) and Institutional Review Board (IRB) review processes. * Serve as the Administrative IRB Coordinator. * Provide document creation, review coordination, and support for the scientific proposal process - specifically proofreading, formatting, editing, and uploading/sending final documents. * Prepare, review, and disseminate various internal or external communications and official correspondences. * Perform data entry into project databases for analysis and evaluation of experimental data. * Organize documents and schedules for various projects or studies. * Provide documentation support for various projects or studies with reports, papers, research protocols, presentations, and posters - specifically proofreading, formatting, and editing support. * Support the ordering and maintenance of inventory for department office supplies. * Assist with and participate in development of internal and external Command presentations and briefs. * Provide literature review/article retrieval support. * Directly support administrative requirements for senior military and Government civilian staff as required. Basic Qualifications * Bachelor's degree and 4+ years of relevant administrative experience is required; however significant administrative experience, particularly in support of executive staff, may be considered in lieu of education. * Candidates must have advanced MS Office skills, including Outlook, Word, Excel, PowerPoint, Access and SharePoint. * The candidate will be required to acquire, at a minimum, a SECRET classification access level. Preference will be given to a candidate who already has this clearance level. * Due to Federal contracting requirements, candidates must be US citizens.
