Administrative Asst IV - Open Records

Performs advanced (senior-level) administrative support assistance work. Work includes reading and logging in Open Records requests, reviewing documents involved with requests, communicating within the agency and to the public regarding requests. In addition, work includes maintaining electronic filing systems, coordinating internal administrative support work, and performing other administrative support tasks as assigned.

Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Essential Job Functions:

EJF 1. Reviews and organizes documents involved with Open Records Requests. (45%).

EJF 2. Communicates within the agency and externally to assist with gathering, organizing, reviewing, and filing documents concerning Open Records Requests. (35%)

EJF 2. Assists with the preparation, editing, and distribution of correspondence, reports, studies, forms, and documents. (10%)

EJF 3. Develops, and maintains filing, record-keeping, and records management systems. (5%)

EJF 4. Develops administrative policies and procedures related to the Open Records process. (5%)

Knowledge Skills Abilities:

Knowledge of and ability to work with confidential records/files/information.

Knowledge of widely used computer software.

Skill to operate a computer and utilize widely used software.

Skill to perform tasks with a high degree of accuracy and close attention to detail.

Ability to set priorities and goals for accomplishing workload within limited time frame.

Ability to follow security policies, and procedures while working with confidential records/files/information.

Ability to understand and comply with written and oral instructions.

Ability to use sound judgment and work independently in fast paced/stressful situations.

Ability to communicate orally and in writing in a clear, effective and diplomatic manner.
