Administrative Asst II/SchedulerThe Administrative Assistant for Medical Services performs moderately complex, self-directed clerical and administrative assistance for the Department, will serve as Scheduler for the Department.

Schedules medical appointments for individuals served.

Responds to routine and non-routine inquiries regarding rules, regulations, policies and procedures. Serves as the receptionist for the Medical Services Department providing assistance and answering inquiries from employees, persons served, and other entities on a daily basis. Maintains department filing system; orders supplies for the medical services department and other departments as designated.

Tracks and processes documentation. Compose and track various reports, verifies for accuracy, and distributes. Makes travel arrangements; prepares/processes travel forms/correspondence for Medical Services Department.

Schedules meetings; records/types/distributes meeting minutes. Completion of work requires occasionally originating new methods and/or techniques and decisions are varied but based on guidelines. Works under the general supervision of the Medical Services Director with moderate latitude for the use of initiative and independent judgement.

Work is subject to review by the Medical Services Director. Performs other duties as assigned. Essential Job Functions:

Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. Schedule medical appointments for persons served.Receptionist, good phone etiquette Prepare, create and maintain Word/Excel/Outlook documents Coordinate Travel Office Management Scheduling, multi-tasking, organization Filing Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.

Such participation may require an alternate shift pattern assignment and/or location. Knowledge Skills Abilities:


Ability to work harmoniously with others; ability to multi-task; ability to work with professional and para-professional staff. Knowledge of office practices, administrative, and timekeeping procedures.

Ability/skill to evaluate effectiveness and to interpret complex oral and written rules, regulations, policies, and procedures. Capable of learning assigned clerical/secretarial tasks readily, adhering to departmental policies and procedures. Willing to learn and accept supervision and direction.

Proficient in Microsoft Word, Excel, PowerPoint and standard office equipment. Knowledge of Business English, such as spelling, grammar, and punctuation. Ability to communicate information in a clear, effective, and professional manner.

Effective typing and proofreading skills. Ability to record minutes of meetings. Time and office management skills. Registration or Licensure

Requirements:

NAInitial Selection Criteria:

Any combination of education and experience equivalent to high school graduation or GED, plus 2 years of experience in providing administrative/clerical support preferred. Office Management Experience preferred.

Proficient in Microsoft Word, Excel, PowerPoint and standard office equipment preferred. Knowledge of Business English, such as spelling, grammar, and punctuation preferred. Knowledge of medical terminology preferred. Additional Information:

Salary Note: The salary offered will follow HHS starting salary guidelines which are typically made at or near the minimum of the salary range.

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS OIG List of Excluded Individuals/ Entities. Males between the ages of 18 25 must be registered with the Selective Service. All State Supported Living Center employees are subject to Random drug testing.
