Administrative Asst IThe Administrative Assistant I, Staff Support Services Department provides administrative and clerical support by greeting and receiving internal and external customers to the department. Performs routine services such as routing calls, generating routine correspondence via email and agency specific IT platforms. Assists customers by answering general questions within the scope of their knowledge and ability. Uses intermediate skills in MS Excel to enter data and generate chart and graphical representation supporting report data. Essential Job Functions:
1.Provides administrative support to the Staff Support Services Department, including the Director, Staff Support Services, Staff Services Officer, Risk Manager and the Workers' Compensation Coordinator. 2. Performs heavy data entry tasks from provided reports. Drafts general correspondence via email. 3. Assists with clerical support in the administration of Family Medical Leave, Worker's Compensation, Employee Relations, and Risk Management surveys. 4. Provides ad hoc administrative support for internal and external recruiting and retention initiatives. 5. Uses department provided digital recorder to produce meeting minutes. 6. Performs reception duties for department visitors, answers telephones, and provides general information and support to internal and external customers. 7. Schedules appointments, manages department calendars, and attends required department and facility meetings. 7. Maintains department files, orders and maintains department office supplies, initiates work orders for facility maintenance and makes ad hoc purchases using agency issued procurement card. 8. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Knowledge Skills Abilities:
1.Demonstrated knowledge of administrative practices to include keyboarding skills with attention to spelling, grammar and punctuation. 2. Demonstrated ability to work with basic MS Office software applications such as MS Word, Excel, and PowerPoint. An onsite assessment of MS Word and Excel will be required if selected for interview. HS Diploma or equivalent

1.Graduation from a standard senior high school or equivalent. 2. 1 year of administrative support experience. Education and experience may be substituted for each other. Additional Information:

Responsible for coordinating the implementation and maintenance of the Habilitation Therapy records for Physical Nutritional Management Team and Settlement Provisions O, P and R. Responsible for coordinating, processing and tracking record requests for Department of Justice (DOJ) and DOJ Monitors including retrieving, copying and organizing records for distribution/mailing to ensure requirements are met. Responsible for ordering adaptive equipment, tracking orders and dispersing the equipment when it arrives. Completes travel request documentation and obtains administrative approval for orders and travel requests. Completes contracts and amendments according to timelines. Completes departmental training delinquency reports, call tree roster and Risk List for PNMP (Physical Nutritional Management Plan) supports. Maintains databases for tracking and trending of various data. Provides administrative oversight, conducts audits of the Unified Record, and tracks documents requested for Sections O, P and R of the settlement agreement. Tracks implementation of corrective action plans and tracks Document requests for sections O, P and R of the settlement agreement. Works under general supervision with moderate latitude for the use of initiative and independent judgment. Essential Job Functions: Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.Orders adaptive equipment, tracks orders and disperses the equipment when it arrives. Maintains databases for tracking and trending of various data. Reviews Habilitation records and databases monthly. Works with management to develop plans of correction related to deficiencies noted in audits. Tracks progress on plans of correction and prepares status reports for the SSLC (State Supported Living Center) Management. Completes contracts and amendments according to timelines. Completes travel request documentation and obtains administrative approval for orders and travel requests. Processes DOJ and DOJ Monitor record requests. Coordinates and directs the copying and preparation of records to ensure the request requirements are met and records maintained according to guidelines. Establishes and maintains systems to track requests. Tracks monthly data needed for self-assessment or action plans. Completes departmental training delinquency reports, call tree roster and Risk List for PNMP supports. Performs special assignments at the request of the supervisor in order to further SSLC goals.
