The Administrative Assistant I performs routine administrative support work, or technical program work. Work involves disseminating information, maintaining filing systems, performing internal administrative support work and complex clerical work. Works under supervision, with minimal latitude for the use of initiative and independent judgment. Essential Job Functions:


Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. 1. Attends work regularly in accordance with agency leave policy. 2. Receives and reviews forms and applications for completeness of information 3. Maintains files and records and reviews and routes mail. 4. Prepares, edits and distributes correspondence, reports, forms and documents. 5. Performs data entry, serves as department Data Coordinator and provides computer technical assistances to others in department. 6. Assists in compiling statistical data, preparing various charts, graphs and written summaries. 7. Submits work orders via CAFM, coordinates ordering of supplies, food and equipment through approved methods and with appropriate vendors in accordance with state regulations. 8. Provides appropriate coverage for answering phones, routing incoming calls, taking messages and directing visitors to appropriate staff. 9. Explains and interprets (with supervision) rules, regulations, policies and procedures. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Knowledge Skills Abilities:
1.Knowledge of office practices and administrative procedures. 2. Knowledge of agency rules, regulations, policies, and procedures 3. Knowledge of basic records retention and filing for an organizational unit. 4. Knowledgeable in positive, proactive communication and people skills 5. Skilled in the use of standard office equipment and software (Microsoft Excel, Word, Power Point, ACCESSHR, Citrix, MIMS). 6. Skilled in organizing various projects within given deadlines 7. Ability to prepare and/or distribute routine and special correspondence, reports, forms, and documents. 8. Ability to analyze and appropriately solve problems. 9. Able to function under stress, perform in a multi task manner. 10. Able to read and write in English and follow through on verbal and written directions. Registration or Licensure

Requirements:

Must possess valid Texas driver's license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy. Initial Selection Criteria:
1.Graduation from a standard senior high school or equivalent. 2. Experience in clerical or administrative support work. Additional Information:

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, and HHS OIG list of Excluded Individuals/Entities. Males between the ages of 18-25 must be registered with the Selective Service.

All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Salary Note: The salary offered will follow HHS starting salary guidelines which are typically made at or near the posted minimum of the salary range.
