Performs a variety of very complex administrative tasks requiring substantial discretion and independent judgment related to overseeing the daily operations of a University administrative unit. Directly supervises classified staff.

Under direction from immediate supervisor provides high level administrative support by maintaining, configuring, and analyzing confidential financial/academic databases, works on special projects (dept. publications, course documentation), and prepares special correspondence and develops detailed (often complex) reports. Ability to manage multiple tasks and set priorities.

Duties/Physical Demands:

  1. Oversees operations of unit; sets priorities; ensures smooth work flow; enforces policies and procedures; ensures work product meets professional standards.
  2. Serves as informational resource to staff; investigates and resolves problems or difficulties. Utilizes department or University policies, procedures, and practices to answer routine inquiries. Resolves problems based on precedents.
  3. Provides advice, counsel, and information regarding department's activities to students, faculty, or staff.
  4. Supervises staff, enforces policies and procedures; establishes schedules and assigns tasks; reviews and evaluates performance. Provides work direction to students and staff and, as assigned, oversees the day-to-day operation of the department. Often has notable accountability for the work results of support staff or department functions.
  5. Gathers and analyses statistical information regarding department's programs and activities; produces reports.
  6. Monitors unit's budget; maintains inventory of supplies; prepares requisitions and purchase orders; authorizes limited expenditures.
  7. Analyzes, maintains, and monitors confidential academic and budgetary records and databases. Generates standard and custom reports by analyzing source data and completes custom projects.
  8. Performs administrative work that is typically operational or procedural in nature relating to the program, office, or projects. Independently performs complex and diverse administrative duties.
  9. Handles highly confidential materials on a routine basis.
  10. Types and proofreads correspondence, reports and forms; corrects grammar and formats errors; drafts brief correspondence of a routine nature.
  11. Provides project support to a functional group or business process. Conducts special projects as directed.

Working Conditions

Generally typical office environment. May have periodic assignments which entail dealing with modestly unpleasant conditions.

Minimum Qualifications:

Requires the equivalent of an Associate's degree in Business Administration and three years experience, or an equivalent combination of education and experience.

Preferred Qualifications:

  • A candidate familiar with Buyway, Banner, Budget, Travel Module, Pcard, MAC computer operating system

  • Excellent customer service

  • Ability to support multiple staff

  • 12 months experience at Miami University in an administrative support role.

The position reports to the Director and provides administrative support to the associate director, hearing coordinator and investigator. Specific duties are as follows, but not limited to: * Draft confidential letters, reports, memos and other written documents. * Maintain confidential files regarding student disciplinary records, expunged disciplinary files, and general files for the office. * Use Maxient student conduct database to enter information from police reports, residence hall reports and private complaints and edit existing data. * Send student suspension/dismissal reports to the Registrar's office. * Track completion of student disciplinary sanctions in Maxient and place/release registration hold in Banner, as needed. * Maintain Banner security clearance in order to check student registrations, student status, class schedules, or to obtain parent information and access student academic records. * Manage business functions of office; review and discuss budget needs and expenditures with the director; Reconcile monthly Mastercard statement; Inventory office supplies and prepare requisitions. * Provide disciplinary background information in accordance with FERPA to graduate schools, employers, and other programs, as requested. * Provide students, faculty, staff, and other stakeholders with information on policies and procedures related to student conduct. * Maintain calendar of the director, assistant director, investigator, and hearing coordinator. * Assist in the supervision, hiring and evaluation of student employees; approve student payroll through Kronos; develop and maintain the Student Employee's Handbook; coordinate a yearly training with all student employees. * Schedule and facilitate all staff travel requirements and needs. * Run query reports, as needed. * Complete accurate data entry and edits on a daily basis. * Other duties as assigned.
