The Office of Conflict, Resolution, and Policy (CRP) invites applications for an Administrative Associate to join their team. This position works with students, faculty, staff, administrators, and community members at all levels of the University in a confidential capacity. The Administrative Associate furthers both the University's Enterprise Risk Management Plan and Diversity, Equity, and Inclusion Plan by creating expanded expertise, capacity, and depth to appropriately address campus reports of protected-class discrimination and harassment.

Responsibilities include but are not limited to:

  • Data Collection, Tracking, and Technical Support (e.g., monitor and record case progress and action items; assist with data reports; maintain records)

  • Case Intake and Support (e.g., receive reports via phone, computer, or in-person; provide logistical support in formal proceedings; attend intake meetings)

  • Communication (e.g., maintain regular communications with established team; participate in relevant campus events and committees; draft and edit departmental communications

  • Office Operations (e.g., monitor office email and phone; triage inquiries; perform administrative tasks; support CRP staff)

Required Skills

  • Advanced proficiency with various computer programs and basic office equipment.

  • Expertise in multi-tasking and prioritizing assignments, organizing incoming work, and returning work products promptly.

  • Ability to work in a fast-paced setting while maintaining superior attention to detail.

  • Strong understanding and respect for confidentiality involving information protected by FERPA and state of Montana laws.

  • Superior documentation skills.

  • Excellent written and verbal communication skills, ability to establish rapport.

  • Ability to establish and maintain professional and cooperative working relationships with staff, students, guests, faculty, and visitors at the University of Montana.

  • Ability to follow established policies and procedures for entering and maintaining data.

  • Ability to work in a variety of settings with culturally-diverse individuals.

  • Advanced analytical/problem-solving skills.

Minimum Required Experience

  • High School diploma and two (2) years' experience or an equivalent combination of education and experience.

Preferred Qualifications

  • Bachelor's Degree and two (2) years' experience performing administrative functions in an office setting or an equivalent combination of education and experience.

  • Demonstrated proficiency in record-taking, recordkeeping, and data input/maintenance.

  • Proven experience with Banner and Maxient software systems, or a functional equivalent

  • Experience working with persons in crisis.

  • Familiarity with higher education.

Position Details

Position Title: Administrative Associate IV

Position Number: 013720

Department: Office of Conflict, Resolution, & Policy

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year.

Salary: $20/hr Current employee's rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department.

Probationary Period: Six months minimum
