This position is located at Piedmont Correctional Institution in Rowan County, NC
The purpose of the position of Administrative Associate II is to provide administrative assistance and office management services for the Correctional Facility Assistant Superintendents.. This position has the responsibility for correspondence and record management, filing, database maintenance, telephone responsibilities, scheduling inmate special visits as well as greeting and directing visitors and staff.
The position also processes documents and correspondence by transcribing dictation from rough drafts provided by the Correctional Facility Assistant Superintendents and often independent composition of documents. Such correspondence is directed to the Department of Public Safety management staff, employees, inmates and/or the general public.
This position will also process incoming and outgoing mail to and from the Correctional Facility Assistant Superintendents as well as courier mail addressed to the Institution.
Additional functions and administrative duties, such as establishing appointments for the Correctional Facility Assistant Superintendents, making reservation and arranging transportation needs are also required of this position when these services are necessary. This position also contacts facility staff for meetings and disperses information, policies and directives to appropriate personnel. This position also records and prepares minutes of meetings held by the Correctional Facility Assistant Superintendents.
This position maintains a calendar of periodic reports, actives and meetings which are required on recurring basis. This position also reminds the facility of this information by ensuring timely responses to meet deadlines and improve efficiency of the office of the Correctional Facility Assistant Superintendents.
This position handles significant amounts of sensitive and confidential information. This information involves written and verbal communication generated by the Correctional Facility Assistant Superintendents, received from other staff and external sources. This position helps ensure all confidential information is identified and utilized appropriately, filing, typing,data entry and communication skills to maintain confidentiality.
This position has contact with minimum custody inmate's assigned janitorial duties and minimal contact with inmates assigned to the medium custody regular population, when duties require delivery of message, etc., which need immediate attention. This exposure involves going into the secure confines of the institution.
This position must meet deadlines of major projects as directed by the Division, Region and the Department offices. Lawsuits, staff disciplinarians, office automation, new Policy and Procedure changes, etc., are areas which require this position to be able to adjust to sudden changes and to be flexible in work habits.

Minimum Education and Experience Requirements
High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
