Administrative Associate II (Clerical)
This position reports to the Associate Warden of Custody and the Associate Warden of Programs and provides administrative assistance to both positions. Job responsibilities include the following:
Maintains a calendar of required periodic reports and ensures the reports are submitted accurately and timely.
Maintains and updates manuals, directories and files as needed.
Responsible for correspondence, both written and verbal, this includes composing documents and correspondence from rough drafts and independently; processing incoming and outgoing mail for the Associate Wardens; responding verbally to phone calls from NCDPS employees, government officials and the general public.
Responsible for filing and maintaining records, including sensitive and confidential data.
Creates and maintains spreadsheets and/or databases to monitor and track facility data.
Serves as first point of telephone contact for calls to the Associate Wardens and serves as facility backup to the switchboard operator, providing coverage during the operator's lunch break and absences from work.
Provides backup support to staff assigned to the mailroom during days with high volume and absences.
Prepares packets for weekly offender disciplinary hearings and serves as the primary recorder for the Disciplinary Hearing Officer, which will involve frequent contact with staff and offenders.
Reviews offender publications to ensure compliance with NCDPS Publications policy. Drafts denial of publication notices to offenders as needed and monitors appeal requests to the Correspondence Review Board.
Records meeting minutes as necessary.
Will be required to assist with special projects and provides assistance to other staff as deemed necessary and appropriate by management.
This is a full-time position (40 hours per week) with
State Benefits.Work hours are Monday-Friday from 8am-5pm.

If selected for this position, a new salary will be recalculated taking into consideration the quantity of relevant education and experience, funding availability, and internal equity. Based upon these factors, a pay increase MAY result.

About the Nash Correctional Institution:
Nash Correctional Institution is a medium custody facility located in Nashville, Nash County NC. It houses approximately 654 male offenders. The facility provides offender labor to two Correction Enterprises operations located on site: the Optical Plant and the Print Plant. The Optical Plant manufactures eyeglasses for customers such as Medicaid and the Division of Services for the Blind. The Print Plant is a full-service print shop dedicated to printing services for state government agencies, public school systems, state community colleges and universities, and non-profit organizations.

To qualify for this position, applicants must document on the application that they possess ALL of the following:
Documented experience of clerical/secretarial skills.
Documented proficiency with Microsoft Word and Excel.
Minimum Education and Experience Requirements
High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
Applicants with previous experience in processing/handling mail.
