Administrative Associate, Graduate Programs
The George Mason University, School of Business, invites applications for the position of Administrative Associate, Graduate Programs. This position professionally represents the School of Business graduate programs to all constituents and provides a full range of administrative support within the graduate programs office. Primary responsibility is to provide back-up support to the Office Manager to include management of procurement, calendaring and special project work.

The Administrative Associate has responsibilities in the following areas:
Reception and Hosting Services:
Provide receptionist services for all visitors to the graduate programs office and hosting services for the office conference rooms;
Serve as the first point of contact for all traffic through the graduate programs office;
Manage the reception customer service function for graduate programs;
Assume full responsibility for conveying accurate, through information about all graduate programs to students and other stakeholders; and
Accept and sorts mail for the graduate programs office.
Office Administrative Support:
Works in conjunction with the Office Manager to support the procurement, calendaring, room scheduling, database management, travel authorizations, and general office administrative functions for the graduate programs as needed;
Provide administrative support to graduate programs recruitment and academic teams;
Assist with staffing and organizing occasional evening and weekend hours/events; and
Back up for Office Manager.
Special Projects & Event Planning:
Reserve space for graduate programs events utilizing 25Live;
Participate and contribute to operational aspects of School of Business Graduate Programs designated events;
Generate Food and Beverage Authorizations and work with local vendors to supply catering needs for Graduate Program events; and
Provide administrative support for Graduate Program events including orientation, graduation, graduate recruiting events, etc.
Bachelor's Degree or equivalent work experience in office management and administration;
Knowledge of all relevant software related to job responsibilities (i.e. Microsoft Office, etc); and
Exceptional customer service skills and good communication skills.
Knowledge of University and School of Business programs, policies, and procedures;
Ability to organize and manage complex administrative processes;
Experience working with Ellucian Banner, eVA, Travel Request System and 25live Scheduling systems;
Ability to work independently and to complete multiple tasks within tight deadlines;
Ability to quickly gain proficiency in web-based database platforms and applications; and
Ability to work effectively as a key member of an administrative support team in a dynamic, fast-paced, demanding environment with frequently changing priorities.
