About the Job
The Administrative Associate Supervisor is a working supervisor who will provide executive support assistance to the Department Chair in the Department of Anesthesiology. In addition, the supervisor will oversee daily operations of administrative support service for the department by supervising and coordinating workflow, implementing and documenting processes and procedures, and cross-training administrative support staff. This position reports to the Department Administrator for the Department of Anesthesiology.
This position will be responsible for direct administrative support to the Department Chair including, but not limited to (50%):
Support faculty leadership as the administrative support staff to the Vice President and physician leader for the M Health Fairview University of Minnesota Medical Center
Provide daily and ongoing executive administrative support
Create and enhance successful working relationships with strategic partners within the Medical School, University, service lice, and relevant clinics and hospitals
Provide strong calendaring and organizational skills for complex calendar needs for Department Chair
Respond and refer to inquiries as appropriate
Plan, prioritize, schedule and provide staffing support for monthly departmental meetings. This includes attendance at these meetings, work with Department Chair on the agenda, taking minutes and attendance, preparation of presentations and refreshments. NOTE: meeting times can be outside of normal business hours
Compose and/or produce correspondence, memoranda, letters of recommendation, academic papers, presentations, figures for publications
Schedule travel to professional meetings and process subsequent reimbursements
This position will also be responsible for supervision of administrative support staff members in Anesthesiology. The responsibilities will include, but are not limited to (40%):
Setting priorities for the administrative support team to ensure quality and quantity of work completion
Supervise and perform a wide variety of administrative duties which may include general office/program administration, data filing, reporting, internal and external customer service, facilities, and special projects as assigned by the Department Head or Department Administrator
Develop and establish work procedures and standards to improve efficiency and effectiveness of assigned operations
Interpret and adapt policies and procedures. Ensure compliance with established standards. Review and evaluate work performance of others
Supervise, delegate, train and conduct annual performance reviews for support staff
Manage and lead weekly Administrative Team Meetings including creating the agenda, taking minutes, inviting guests if needed etc
Other duties as assigned by Department Administrator or Department Chair
Operations Support (10%):
Provides project management support and coordinates State of the Department presentation
Occasional oversight needed for Tuesday Morning conference (onsite with a start time of 6am)
Qualifications
All required qualifications must be documented on application materials
Required Qualifications
BA/BS plus at least 4 years of experience or a combination of related education and experience to equal 8 years.
Demonstrated ability to move multiple projects forward at the same time and meet deadlines
Demonstrated strong communication (oral and written), interpersonal, organizational, and project management skills to develop and advance projects
Ability to manage work within multiple systems, amidst changing priorities and within ambiguous environments
Experience using Google Applications (mail, calendar, docs, and forms) Microsoft Office Suite programs (including Word, Excel, Powerpoint), Zoom, as well as other standard office software packages and office equipment
Demonstrated ability to take initiative and work independently
Experience leading teams
Experience in the development and execution of new processes and process improvement
Experience and/or commitment to working with a diverse group of people
Adaptable and flexible
Preferred Qualifications
Management experience in a health care and/or higher education setting
Knowledge of the administrative requirements associated with sponsored research, physician practice management, and graduate medical education.
