Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse. Required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions. Use standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor and mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.

Minimum Qualifications

Bachelor's degree in Business or in a field pertinent to work unit and one (1) year of directly related administrative experience; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.

Essential Duties

The successful candidate will be responsible for and have duties in the following areas:

  • Provide comprehensive administrative support to the Dean's Suite and Associate Deans, both in person and remotely.
  • Manage and coordinate calendars and scheduling for associate deans, faculty, and faculty sub-committees.
  • Prepare and handle confidential correspondence, and screening telephone calls and visitors with directions.
  • Draft and edit correspondence, manuscripts, routine letters, and memos: transcribe notes from rough drafts in a timely and accurately.
  • Assist with personnel functions such as scheduling and managing annual faculty reviews, organizing interviews, distributing material to faculty, and coordinating with multiple faculty.
  • Plan, organize, and manage meetings and events, ensuring effective communication of arrangements to relevant parties.
  • Provide cross-training, team support, and serve as backup for the Dean's office staff when necessary
  • Prepare reports and conduct data analysis for faculty and administrative needs, including compiling statistics or research data.
  • Arrange detailed travel reservations and itineraries, anticipate and manage the travel documentation process through the Concur Travel System and the College of Law travel approval site for reimbursement.
  • Document and update office policies and procedures to ensure compliance and improve efficiency.
  • Maintain organized and current filing systems for documents and records.
  • Process incoming mail and respond to routine inquiries promptly.
  • Physical presence at the workplace is an essential function of this position.
  • Facilitate communication with external partners and stakeholders, composing correspondence, coordinating outreach efforts, and welcoming and directing them within the College of Law building.
  • Other responsibilities as directed to align with the goals of the Dean's Suite and the College of Law.

Salary Range

$48,000- $52,000 per year; DOE
