Our Phoenix office has an exciting opportunity for a full-time Word Processor/Administrative Assistant to join our growth-oriented professional engineering and environmental consulting office. We are seeking a positive, motivated person who enjoys multi-tasking and learning on the job. The position provides a variety of clerical, admin, and project support functions as outlined below.
In this role you will be responsible for the day to day word processing support of the office and serve as primary back-up to the receptionist, while providing support on other various administrative assignments. This position is responsible for providing a full range of document production and administrative support services including, but not limited to:
Transcribing, typing, formatting, and producing complex documents including correspondence, reports, technical memos, and contracts. This includes editing, inserting, and formatting text, tables, spreadsheets, graphics and other diverse content in to master documents using Microsoft Word and other software programs.
Producing a wide range of documents and format variations through a complete knowledge of all aspects of the word processing capabilities.
Working independently, proofreading own work, and being familiar with business terminology and company practices.
Sharing front desk/receptionist coverage with other office administrative staff; potential for full-day coverage at times. Receptionist responsibilities include answering phones, greeting clients and guests, picking and dropping off mail, preparing packages/mail for shipping and courier service, reserving conference rooms, making transportation arrangements, and setting up meetings.
Provide overflow support to the Project Analysts and other administrative, accounting, and IS/IT staff members.
Desired Skills and Experience:
High School graduated required; AA or college degree preferred.
Minimum of 2 years' experience in formatting and production of reports, proposals, and other miscellaneous documents required.
Skilled "Power User" with MS Word, Excel, PowerPoint, Adobe, and Outlook software and ability to learn new software as it becomes available required.
Ability to work independently, establish priorities, exercise judgment, and meet deadlines required.
Ability to prioritize and handle multiple tasks and various managers in a fast-paced environment required.
Available to work Monday through Friday 8:00 a.m. to 5:00 p.m. required.
Experience in an engineering, environmental, or construction industry is a plus
Good driving record and valid driver's license required.
