Purpose/Scope of Responsibility

The Camp Administrative Assistant is responsible for all aspects of managing camper and staff information and systems during the camp season. This includes but is not limited to managing camper transportation, maintaining daily attendance, and communicating regularly with families. One of the primary responsibilities is ensuring the highest level of customer service when communicating with camp families and anyone who comes in contact with the camp office. The Camp Administrative Assistant reports directly to the Camp Director. JCC Camp Ruach is a 9-week day camp in Bridgewater, NJ currently serving over 575 campers ranging in age from 2 years old through entering grade 9.Seasonal Position

  • Part-time Spring & Full-Time Summer. April

  • 10 hours/month, May

  • 10 hours/month, June

  • 4-5hrs/day; End June-August

  • Full Time, Monday-Friday.

Essential Duties & Responsibilities

  • Administration

  • Serve as the "front line" for all matters related to customer service and always ensure a positive, calm, and professional disposition

  • Respond to all camp inquiries and requests in a timely manner

  • Maintain daily attendance and record of all campers and ensure information is properly documented on Camp Minder

  • Ability to juggle multiple tasks and responsibilities simultaneously and efficiently

  • Keeping pristine and organized notes and records

  • Work with Bridgewater JCC's Human Resource staff member to ensure all camp staff have submitted paperwork and are processed for payroll purposes

  • Attend all pre-camp meetings and staff orientations

  • Assume any additional tasks and responsibilities as requested by the Camp Director or Assistant Director

  • Customer Service

  • Maintain calm and pleasant disposition in all situations

  • Welcome every customer and answer every phone call with a smile

  • Respond to all internal and external requests in a timely manner

  • Handle difficult and or emotional customer situations in a calm and respectful manner

  • Respectful, sensitive, and courteous of all family situations and make-ups

  • Maintain confidentiality and privacy on sensitive information and delicate situations

  • Transportation

  • Collect and prepare all camper transportation information prior to May 1st for submission to bus company

  • Maintain and update all camper modifications during pre-season and during camp season in connection to camper weeks and transportation to both bus company and in Camp Minder

  • Work with families to ensure the best possible transportation option or solution for both the family and for the camp, as needed

  • Review bus routes from bus company to ensure all campers accounted for and input matching information (plus all related transportation details) into Camp Minder

  • Coordinate construction and mailing of transportation packets to all camp families prior to start of camp

  • During camp season, input all daily transportation changes into Camp Minder and ensure all associated parties have received notification of changes

Minimum Qualifications:

  • Prior secretarial or administrative experience preferred

  • Customer service experience

  • Exceptional level of professionalism/follow-through

  • Superior interpersonal skills

  • Work well both independently and as part of the larger camp team

  • Excellent written/verbal communication skills

  • Exemplary sense of ethics, integrity, and confidentiality

  • Well-organized and great attention to detail

  • Adept at computers and learning Camp Minder, camp management system

THE SHIMON AND SARA BIRNBAUM JEWISH COMMUNITY CENTER is a non-sectarian social service agency located on 14 acres on Talamini Road in Bridgewater. The JCC opened its doors to the community in December 1999 after years of planning and fundraising by a passionate group of local families that were driven to bring a JCC to our tri-county area.

The JCC facility includes heated indoor and outdoor salt-based pools. A dome enclosed outdoor pool is available in the off-season for year-round use. The JCC has a newly renovated and expanded fitness center, group fitness studio, spin studio and gymnasium. We offer more than 70 group fitness classes/week, including the internationally acclaimed Les Mills Fitness Program.
