The Administrative Assistant
Receptionist is responsible for assisting with the daily operations of the office including answering a multi-line telephone system, directing callers to appropriate individuals, and greeting visitors while alerting the appropriate party of the visitor arrival. This position performs a variety of basic and some advanced administrative support functions. Schedules appointments and give information to callers. Composes memos, assists with draft and finals of consulting reports, and researches information as needed and updates presentations. Generates reports, handles multiple projects, and printing/binding of financial reports. In addition, during busy season (January
April) this position will also assist with tax season by prepping documents for scanning and UPS mailings of all client tax documents. This is an opportunity to work with a dynamic group of motivated professionals at various levels.
Opening the office and closing the office (Hours: 8:00 AM - 5:00 PM)
Greeting visitors upon arrival to the office
Handling daily mail and UPS; errand to get mail, sort it appropriately and deliver, postage mail and take it down at the end of the day
Preparing and coordinating travel arrangements for senior management and other staff members
Answering a multi-line telephone system and accurately direct the calls to the appropriate individuals, provide callers with additional information, use of the paging system when needed, ability to take detailed messages to ensure appropriate follow-up
Providing general administrative support to a department or group of professionals including proposal presentation, and report generation and assembly, creating and working with spreadsheets; receiving and responding to routine correspondence, and some filing and binding. These functions will include the daily use of Microsoft Word, Excel, Outlook in addition to some PowerPoint
Ordering of office supplies and organizing supplies, snacks, paper for the office, daily/weekly meals for the office during busy season
Performs other duties as assigned
Ability to answer a multi-line telephone system, transferring calls and being the first point of contact for clients when they arrive to the office
Intermediate to advanced Microsoft Office skills and experience (Word, Excel, PowerPoint and Outlook)
Ability to prepare presentations including charts, graphics and tables, speaker notes & handouts, etc.
Strong Microsoft Outlook skills including calendar management functions
2+ years of administrative assistant experience, preferably within a professional services firm
Flexibility to work overtime during busy season (January

Ability to management multiple tasks
Strong attention to detail and the ability to accurately proofread documentation
