Title: Administrative Assistant

Position Type: 3 month contract

Location: Tampa, FL

Shift hours: Mon-Fri Standard business hours

Job Description:

  • Conserves executive's / leader's time by appropriately routing correspondence; drafting correspondence; collecting and analyzing information; initiating telecommunications; arranging travel; completing expense reports

  • Heavy calendar management as well as timely scheduling ensuring meetings are prioritized and occur within appropriate timelines

  • Prioritize activities and take prompt action based on an understanding of departmental objectives and business needs

  • Adhere to T&E policies, including booking international and domestic travel

  • Calendar, and arrange logistics, for a variety of different events such as People Services Leadership Team (PSLT) meetings, international video conferences, and other meetings as required

  • Ensure manager's preparedness for all meetings, e.g. assemble meeting materials, test technology, communicate to attendees and ensure pre-reads are available

  • Partner with Operations Director to maintain the PSLT SharePoint site

  • Potentially manage and lead projects as required, eg office moves, and provide administrative support as required to PS projects

  • Maintain PS Yammer site and / or other collaboration tools

  • Prioritize and complete support requirements in a timely manner

  • Maintain professional and technical knowledge by remaining current with * continuous learning modules

  • First point of contact for PS LT members based in Tampa for travel and esetup requests

  • Maintain and organize office operations and procedures such as document sharing and retention system, office supply orders and other administration service

  • Partner with PS HR Coordinators at our capability centers to keep up to date distribution lists

  • Handle confidential information in a professional and discrete manner

  • Support the Americas Capability Center team with daily mail scanning, distribution and other activities as required

Other Qualifications

  • High School diploma. Some college or college degree desirable.

  • 8+ years of executive administrative or comparable experience

  • Demonstrated ability to prioritize, work independently and collaboratively with other administrative assistants/external partners, across organization levels

  • Self-motivated, proactive

  • Strong verbal and written communication skills

  • Strong organizational skills and attention to detail

  • Exceptional teamwork, collaboration & stakeholder management skills

  • Ability to work effectively in a fast-paced environment and manage /prioritize multiple activities

  • Proficient with Microsoft suite (outlook, word, excel, PowerPoint, one note, SharePoint)

  • Experience working with current HR enabling systems: Concur and Ariba

  • Experience working virtually and across time zones (global team)
