Position Title Administrative Assistant - Workforce Development Job Description
Reporting to the Director of Workforce Development, the Administrative Assistant will be located at the Ashland University main campus or Columbus, OH Center. This position will be the communication point with the university's Business Office and the Registrar's Office; will provide day-to-day management for Correctional Education 5G training (collecting attendance and financial reports for Workforce Investment Act (WIA); sending certificates to completers; working with trainers for logistical issues; event planning for certificate presentation; tracking progress of completers; assessment data collection for Individual Microcredential Assistance Program (IMAP) grant attendees, etc.; will complete assessment reporting for Workforce Development (WFD); will help to develop/manage a system for adding courses/trainings (via Blackboard or another LMS).
Completes administrative office and clerical work including serving as a resource person to inform interested individuals about WFD.
Ongoing administrative support to aid in the implementation of WFD strategic plan initiatives.
Submit IMAP reimbursements.
Update WFD website as needed.
Issue supplemental contracts to WFD adjuncts.
Maintains files on credential offerings.
Creates and updates the class schedule on the web page.
Updates and maintains the web page information.
Responds daily to email communications.
Prepares reports under the direction of the Director.
Maintains current and accurate records on the computer.
Performs other duties requested by the Director.
Required Qualifications
High School diploma required
Skilled in:
Communication
Customer service
Data entry
Digital and Physical File management
Time management.
Preferred Qualifications
Experience as an Administrative Assistant in a university or school setting desired
Recognized Industry Credential
Multiple Industry Credentials Recognized, including, but not limited to:
Administrative Assistant Certification
Certified Administrative Professional
Microsoft Office Specialist Certification
Professional Administrative Certification of Excellence
Associates Degree or Bachelor's Degree in an associated field of education
Experience with Elevate or willingness to be trained
Physical Demands
Willingness to work at both the Ashland University Columbus, OH Center and Main Campus in Ashland, OH
Potential and very occasional evening work for conferences, etc.
An eight (8) hour workday with some flexible scheduling
Subject to frequent interruptions
Extensive use of computer and keyboard
Physical conditioning necessary for sitting for prolonged periods of time
Visual acuity to review written documents
Ability to hear and understand speech in face-to-face contact and on the phone
Manual dexterity to operate telephone and keyboard
Ability to lift file storage boxes
